Job Summary
We’re looking for a dependable, organized Construction Administrative Assistant to join our team. This role supports the day-to-day office operations, keeps project documents organized, and helps maintain clear communication between the office, field teams, and clients.

Responsibilities
- Support coordination and management of project tasks and deliverables
- Operate multi-line phone systems efficiently, handling inquiries and routing calls appropriately.
- Maintain accurate project files, documents, and records through meticulous filing and data entry.
- Perform general administrative duties, including answering phones & emails, maintaining office supplies, maintaining warehouse
- Coordinate with the clients, team members and subcontractors in Procore with bidding, submittals, closeouts and any other required documentation needed before, during and before the project is completed.
- Provide exceptional customer support by responding promptly to inquiries from clients, vendors, and team members.
- Support office management tasks such as ordering supplies, managing office equipment, and overseeing general administrative functions.
- Proofread documents for accuracy and clarity before distribution, ensuring high-quality communication.
- Carry out additional tasks assigned by the Project Manager, General Manager or the President in an organized and efficient manner
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Proficiency in software (e.g., Procore)
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Dependable, punctual, and reliable, with a strong sense of responsibility
- Strong problem-solving abilities and a proactive mindset
- Prior office experience or clerical experience in construction or related fields is highly desirable.
- Excellent written and verbal communication skills
- Comfortable working independently under pressure with minimal supervision
- Attention to detail for proofreading documents and managing data entry accurately.
- Strong time management skills to handle multiple responsibilities efficiently while meeting deadlines.

Pay: $22.00 - $30.00 per hour
