Come join our tight-knit team of industry professionals to work on some exciting and rewarding projects! We are a boutique General Contracting firm diversified across high-end custom home remodels and new construction, as well as select commercial and multi-family builds. Our project valuations typically range from one into the multi-millions, durations from one to two plus years, and we generally run about five projects concurrently.
Position
We are seeking an organized and dependable Administrator or Administrative Assistant to support Project Managers across multiple jobs. Past experience in the construction industry is not required but certainly a plus. The position is primarily administrative in nature, and consists of keeping projects documented, organized, and up to date in terms of internal company systems to allow Project Managers to focus on field operations. The ideal candidate thrives in a dynamic environment, effectively manages competing priorities, and communicates well with vendors and internal team members. The candidate will be expected to work from our site office facilities with hybrid work-from-home scenarios possible after a ninety day trial period. A high level of proficiency in Microsoft Excel / Google Sheets is a must.
Responsibilities
- Onboarding subcontractors and vendors
- Tracking insurance certificates, lien waivers, and compliance requirements
- Processing subcontractor bids and invoices
- Preparing and issuing client invoices
- Updating project bids and budgets
- Maintaining filing systems and shared drives
- Coordinating between Project Managers and Accounting
- Scheduling inspections and meetings
- Ordering office and project supplies
Qualifications - Required
- High school diploma or equivalent
- Three plus years of administrative and/or project management experience
- Proficiency in Microsoft Office, Excel, Google Drive, Sheets, Adobe PDF
- Ability to manage multiple projects and deadlines simultaneously
- Proactive and dependable team player who can also work independently
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Reliable transportation and ability to travel to job sites throughout the Los Angeles area
- Valid driver’s license
Preferred Qualifications
- BA or BS degree and/or relevant professional accreditation
- Project administration experience in construction or related field
- Familiarity with construction documents, budgets, and schedules
- Knowledge of Smartsheet or other scheduling software
Work Environment and Physical Requirements
- Combination of on site office, home office, and construction site environments
- Ability to visit active job sites and navigate construction areas safely
- Must be able to sit, stand, walk, and carry light materials as needed
- No field work or construction labor or supervision
