Position Description:
The Human Resources Generalist is a hands-on, operational role responsible for executing core HR functions across a multi-state, multi-entity organization. The position holds primary ownership of bi-weekly payroll processing, benefits administration, leave of absence management, recruiting, and on/off boarding while also supporting employee relations, and HR compliance. In addition to day-to-day HR operations, this role is expected to contribute to the continuous improvement of HR processes and workflows, participate in the evaluation and implementation of new HR systems, and develop and distribute employee-facing communications. The position requires strong working knowledge of Paychex Flex, federal and multi-state employment law, and multi-state paid leave programs.
This role operates with a high degree of autonomy on routine functions and collaborates closely with HR leadership and department managers across the organization. The position is hybrid, based in the Denver, CO metro area.
Essential Duties
Payroll & Compliance
- Prepare and process bi-weekly payroll end-to-end: audit, error correction, processing and check distribution
- Maintain Paychex Flex data to ensure accuracy for reporting to management and employees
- Track and report on vacation, sick leave, and LOA balances in Paychex
- Correspond with state, government, and legal agencies on employment matters including unemployment claims, paid leave, state tax set up, and garnishments
- Respond to subpoenas and third-party employment verification requests
- Conduct periodic audits of HR files and records for compliance (I-9s, required acknowledgments, etc.)
- Complete, verify, and maintain I-9 documentation in accordance with federal requirements
Benefits Administration
- Lead annual benefits open enrollment: system setup, communication, form processing, and employee Q&A
- Process benefits changes, new enrollees, and terminations in Paychex; issue COBRA notices accordingly
- Reconcile monthly vendor invoices for all HR-related benefits vendors; submit to Controller for approval
- Serve as first point of contact for employee benefit questions and claims resolution
Leave of Absence Management
- Manage all leaves of absence including FMLA, state disability, and other applicable leave programs
- Ensure compliance with federal and state leave laws across all operating states
Recruiting & Onboarding
- Review resumes and conduct screening interviews; coordinate manager interview scheduling and follow-up
- Prepare and conduct new employee onboarding and orientation programs
- Process all required new hire documentation
Process Improvement & Systems
- Identify inefficiencies in HR workflows and lead or support process improvement initiatives
- Participate in the evaluation, implementation, and rollout of new HR systems and technology
- Serve as a subject matter expert during system transitions, documenting processes, testing configurations, and training end users
- Build and maintain standard operating procedures (SOPs) for key HR functions to ensure consistency and scalability
- Partner with internal and external stakeholders to ensure consistency, accuracy, and compliance.
HR Communications
- Develop and distribute HR communications including policy updates, benefits announcements, and open enrollment materials
- Draft, update, and maintain the employee handbook and individual company policies
- Prepare monthly HR metrics reports
- Send monthly employee recognition communications
- Support employee training materials, programs, and organization-wide meetings
Employee Relations & HR Operations
- Respond to employee inquiries on HR policies, benefits, and procedures; escalate to leadership as appropriate
- Maintain accurate, up-to-date HR files and records in compliance with federal and state laws
- Maintain current job descriptions for all positions
- Coordinate and support the annual performance review and incentive programs
- Support employee engagement surveys and recognition events
- Other duties & projects as assigned
Required Qualifications & Competencies
- Bachelor's degree in Human Resources, Business, or related field or equivalent experience
- 5 years of HR generalist experience; manufacturing background a strong plus
- 3 years processing multi-state payroll; Paychex Flex experience required
- 2 years of benefits administration including invoice reconciliation, enrollment, and employee support
- Demonstrated experience in process improvement identifying gaps, redesigning workflows, and documenting SOPs
- Experience participating in or leading HR system implementations or technology transitions
- Solid knowledge of FMLA, ADA, and state-specific leave and employment laws
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio); Smartsheet experience a plus
- Demonstrated effective verbal and written communication skills across all levels of the organization
- Ability to manage multiple projects simultaneously with high attention to detail and accuracy
- Maintains the highest standards of confidentiality
- HR certification (PHR, SHRM-CP) a plus
Physical Requirements
This position is primarily sedentary, performed in a standard office environment. The employee is regularly required to sit for extended periods, operate a computer, and use a keyboard, mouse, and telephone for prolonged periods. Frequent use of hands and fingers for typing, writing, and handling documents is required. The employee must be able to communicate verbally and in writing on a consistent basis. The employee may occasionally be required to stand for presentations or onboarding sessions, walk, reach, bend or stoop to access filing systems and storage, and lift or move items up to 35 pounds. Close vision and the ability to adjust focus for screen-based work is required. The noise level in the work environment is typically low to moderate.
