Responsibilities
- Manage and maintain detailed calendars, scheduling meetings, appointments, and travel arrangements with precision using tools like Microsoft Outlook Calendar, Clio Calendar.
- Prepare, proofread, and transcribe documents, reports, presentations, and correspondence to ensure clarity and professionalism.
- Coordinate projects by tracking deadlines, organizing meetings, preparing agendas, and following up on action items to ensure timely completion.
- Handle incoming calls with excellent phone etiquette, direct inquiries appropriately, and manage multi-line phone systems efficiently.
- Oversee office management tasks including filing, data entry, billing using Clio Manage, and maintaining organized records both digitally and physically.
- Assist with event planning for internal meetings or company functions by coordinating logistics, vendors, and materials.
- Support personal assistant duties such as managing confidential information, preparing expense reports via Clio or other platforms, and providing executive administrative support as needed.
Experience
- Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical tasks.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Clio Manage, and data entry systems.
- Experience coordinating projects or events from inception to completion with excellent organizational skills.
- Strong typing skills combined with proofreading and transcription abilities to produce accurate documents swiftly.
- Prior experience supporting high-level executives or personal assistants is highly desirable.
- Exceptional customer service skills coupled with professional phone etiquette in handling multi-line phone systems. Pay: $22.00 - $26.00 per hour
