Description
ESSENTIAL FUNCTIONS:
Support the Director and Assistant Director with operational functions of the Daycare and to assist with all basic secretarial duties.
ORGANIZATION AND COORDINATING:
Screening/Intake
- Ability to communicate with visitors that enter the agency and direct all visitors to their requested department.
- Ensure sufficient coverage of all incoming telephone calls and directed all messages to the appropriate person.
- Must provide a courteous demeanor when communicating with all vistors and co-workers.
- Screen and reply to all general agency email correspondence.
Interfacing
- Greet Daycare visitors and persons served in timely and professional manner.
- Answer multi-line telephone system and screen and transfer all inbound calls.
- In collaboration with the teacher and teacher assistant, prepare materials to be used in the daily programs.
- Demonstrate a warm, supportive attitude towards children.
- Direct staff request to the appropriate department.
- Maintain positive public relations with vendors, persons served, as well as other community officials.
Linkage
- Establishes and maintains positive and professional relationships with community supports and stakeholders (Parents, Program Funders/Monitors, School Faculty and Administration, etc)
- Provides linkage to equipment service providers and monitors progress thru completion of task.
- Establishes and maintains positive and professional relationships with community supports and stakeholders (Police Department, Hospitals, School Faculty and Administration, etc)
Monitoring
- Monitor office equipment and report need maintenance
- Review and proofread submitted correspondence
Direct Service
- Prepare and modify documents including all correspondence, reports, drafts, memos and emails
- Help with the clean up and care of room and classroom equipment.
- Arrange location, food and needed materials for any trainings or meetings
- General clerical duties including photocopying, faxing and mailings
- Maintain electronic filing system
- Ability to work with vendors and have the ability to schedule technicians for office equipment service.
- Perform other duties as may be assigned from time to time by the Teacher, Assistant Director or Center Director.
Agency Activities/Trainings/Other
- Attend and participate in all initial and on going training
- Actively participate in orientation and staff training, assigned staff meetings
- Attend “All Staff” meetings
ADMINISTRATIVE:
Document/Record Keeping
- Ensure that every visitor, and employee document the time entered and exited the facility.
- Maintain accurate employee database as it pertains to contact information.
Requirements
QUALIFICATIONS:
- Knowledge of correct punctuation, spelling, grammar and word usage.
- Knowledge of the procedures and services of the assigned work unit.
- Skill in operating a variety of office machines.
- Ability to alphabetize and file material with speed and accuracy.
- Ability to follow verbal and written instructions.
- Ability to work independently: set priorities, meet deadlines and exercise independent judgement.
- Ability to maintain confidentiality.
- Ability to provide customer service in a manner consistent with GOPYC standards.
- Ability to communicate and work with children with varying ages and skills; and provide necessary guidance, support, and supervision to participants at all times.
- Passion to make a positive impact on the lives of children in the community and to educate them to proficiency.
- Mathematics and language arts proficiency
- Excellent communication and organizational skills
- Capable to work collaboratively with teams
- Demonstrated reliability regarding attendance and work performance
- Ability to be creative, flexible and adaptive in ALL activities and responsibilities
- Must be a team player.
- Bilingual a plus
- Other duties as assigned may result in working weekends and/or holidays.
Education
Completion of a high school diploma or equivalents
Experience
two year or more in a clerical service related field
