About the Role
We are looking for a highly organized and dependable team member to manage our lead follow-up, customer communication, and CRM systems, with a strong focus on ActiveCampaign.
This role is critical to our business. You will be responsible for ensuring:
- Every lead is followed up with consistently
- Our communication systems run smoothly
- Our pipeline is always accurate and up to date
This is not just an administrative position — it is a systems-driven role with real responsibility and growth potential.
What You’ll Be Responsible For
ActiveCampaign (Primary Focus)
- Manage pipelines and track all leads from inquiry to completion
- Monitor and maintain automations (calls, texts, emails)
- Ensure all follow-up sequences are running correctly
- Update contact records, tags, and stages
- Troubleshoot issues when automations don’t work as expected
Lead Follow-Up & Communication
- Support daily follow-up through calls, texts, and emails
- Help ensure no leads fall through the cracks
- Move contacts between stages (call, text-only, engaged, etc.)
- Respond to inbound messages when appropriate
Sales & Administrative Support
- Assist with proposals and updates using ServiceMinder
- Keep ActiveCampaign and ServiceMinder aligned
- Help organize sales materials and communications
- Manage inventory and product ordering and stocking
- Assist with Facebook page and website updates
Customer Experience
- Send post-project communication (instructions, follow-ups, review requests)
- Upload and share project photos
- Help ensure a smooth and professional customer experience
Reporting & Organization
- Track leads and basic performance metrics
- Assist with simple weekly reporting
- Maintain organized systems and documentation
What We’re Looking For
- Highly organized and detail-oriented
- Comfortable working with CRM systems (ActiveCampaign experience is a plus)
- Strong communication skills (written and verbal)
- Able to follow structured processes consistently
- Problem solver with a calm, reliable mindset
- Takes ownership of responsibilities and follows through
