We are seeking a full-time Client Care Coordinator (Front Desk Concierge) to serve as the first impression and ongoing support hub for our clients and clinical team.
Position Overview
This role is more than a traditional front desk position. You are the face of the practice and a key driver of the client experience—ensuring every interaction is seamless, professional, and elevated.
You will manage client communications, coordinate care logistics, and support internal operations with precision and attention to detail.
Key ResponsibilitiesClient Experience & Relations
Greet and welcome clients with a high-touch, concierge-level experience
Serve as the primary point of contact for client needs, questions, and coordination
Manage appointment scheduling, confirmations, and follow-up communications
Handle inbound calls, texts, and emails with professionalism and efficiency
Build and maintain strong, trust-based relationships with clients
Operations & Administrative Support
Maintain accurate and timely documentation within EMR systems
Coordinate prescription requests with providers and pharmacy partners
Assist with client billing inquiries and payment processing
Manage provider schedules and internal team calendars
Support clinical and operational teams with administrative needs
Required Qualifications
High school diploma or equivalent
2 years of experience in a medical office, concierge service, or high-end client-facing role
Experience with EMR systems and healthcare workflows
Strong technical proficiency and ability to quickly learn new platforms
Excellent verbal and written communication skills
Must reside within 30 minutes of Sarasota, FL
Preferred / Ideal Candidate
Experience in concierge medicine, wellness, or luxury service environments
Highly organized with exceptional attention to detail
Polished, professional presence and communication style
Demonstrates discretion and ability to handle confidential information
Thrives in a fast-paced, high-performance environment
Anticipates needs and proactively solves problems
Schedule
Monday–Friday, 8:00 AM – 5:00 PM
Full-time, in-person
No weekends
Compensation & Benefits
Hourly rate: $20.00 – $21.00 (based on experience)
