Duties and Responsibilities:
- Provide customer service to persons served, including: scheduling/rescheduling appointments, responding to inquiries, translations and liaising between staff members and addressing issues as they arise
- Scanning documents into the electronic health record, as assigned
- Providing educational consultation to interested individuals served
- Escorting persons served to and from waiting room
- Assist with Prior Authorizations
- Managing referral leads
- Monthly reporting of statistical data
- Building and maintain community relationships with referral sources and NeuroStar TMS coordinator
- Delivering TMS therapy to individuals served (on-site training provided)
- Clerical duties such as, phone calls, faxing, photocopying or transcribing
- Communicate any facility, medical team or other operational issue to the Floor Supervisor, Practice Manger or other member of the Clinic Management Team
- Review and respond to voicemails and emails within two (2) business days
- Provide a safe and therapeutic environment for daily treatment sessions
- Perform other related duties, as assigned
- Travel, as needed
Administrative Responsibilities/Record Keeping:
- Adhere to program and agency policies and procedures
- Ensure that required documentation is completed professionally and accurately and filed in the electronic health record in a timely manner
- Attend scheduled supervisory meetings
- Complete time sheets and submits them accurately and in a timely manner
- Maintain job related record keeping accurately and submit reports in a timely manner
Minimum Qualifications:
- High School Diploma or equivalent
- Medical Assistant Certification/Health Care Clinical Professional preferred or two or more years of related experience
- Knowledge of office practices and professional environment
- Basic knowledge of scheduling
- Understanding of the population and information sensitivity
