Position Summary
We are seeking a highly organized and dependable Office Manager / Operations Coordinator to oversee daily administrative and operational functions. This role is essential to keeping our office, field crews, and customers running smoothly across both our landscaping and winter service operations. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced environment.
Key Responsibilities
- Answer and manage incoming customer calls, emails, and service requests
- Schedule estimate appointments and coordinate calendars for both lawn care and snow services
- Prepare, send, and follow up on customer quotes and proposals
- Handle billing, accounts receivable, and daily deposits
- Process payroll and assist with employee onboarding and hiring
- Track crew schedules, job sheets, and vacation time
- Maintain accurate data entry for daily operations and customer records
- Communicate with vendors and manage supply ordering
- Perform basic bookkeeping tasks using QuickBooks or similar software
- Maintain organized digital and physical filing systems
- Support dispatching and customer communication during snow events as needed
Qualifications
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent communication and customer service abilities
- Proficiency in Microsoft Office and/or Google Workspace
- Experience with QuickBooks is a must
- Scheduling/dispatching experience is a plus (especially for seasonal services)
- High attention to detail in data entry and financial tracking
- Ability to work independently and problem-solve effectively
