Job Title: HR People Operations & Benefits Coordinator
Reports to: HR Director
Location: New Orleans, LA
JOB SUMMARY:

Reporting to the HR Director, the HR People Operations & Benefits Coordinator will play a key role in supporting People Operations and assisting in the execution of strategies to attract, manage, retain, and develop top talent. This role will undertake a wide range of HR tasks with a heavy focus on - benefits administration, people administration, supporting the HR team in day-to-day operations, and be part of leading programs that bring our culture to life –employee engagement initiatives, team events, and culture-building programs. This role will serve as the first line of support for employees, helping them navigate HR processes, benefits, and day-to-day questions.

You’ll be joining a small, dynamic HR People Operations team where your work directly impacts employees’ experience and contributes to our company culture.
RESPONSIBILITIES:
Benefits Administration:
- Be our benefits guru! – Lead benefits administration and act as the go-to expert for employee benefits questions, including providing 1-on-1 enrollment support as needed.
- Manage tracking and approval of new hire enrollments and qualifying life events (including collecting dependent verification documents), to ensure timely enrollment.
- On a monthly basis, audit benefit deductions set up for new enrollees in our payroll system, and review carrier sites to ensure enrollments are captured correctly (new hires, changes, and terminations).
- Reconcile monthly benefit invoices, including populating monthly self-bill for Voluntary benefits carrier.
- Coordinate and schedule quarterly 401k meetings and upload newly eligible participants on 401k website.
- Support annual open enrollment process, including communication, employee education, system updates, and testing/auditing.
- Lead wellness activities and employee education on our benefit programs throughout the year (e.g. flu shots, biometrics, weight loss challenge).
- Manage leave of absences and ensure proper documentation and tracking. (FMLA, STD and LTD claims)
- Partner with our benefits broker to ensure compliance with federal, state, and local regulations (COBRA, ACA, FMLA, etc.).
People Administration & Employee Support:
- Assist with day-to-day Ops of HR Functions and duties – providing clerical and administrative support.
- Act as the first point of contact for employees’ general HR questions (benefits, PTO, 401k, Arcoro, HR policies etc.).
- Maintain accuracy and confidentiality of personnel records in HRIS (Arcoro).
- Review new hire setup in HRIS and payroll system and process employee changes in HRIS (Arcoro) on a weekly basis (new hire setup, direct deposit, tax changes, pay changes, promotions/transfers etc.).
- Manage employee offboarding termination process.
- Handle medical support notices, employment verification, and unemployment claims requests.
- I-9 Management - Verify employment eligibility documentation, maintain I-9 records for active and terminated employees, conducting compliance audits, and tracking non-citizen employees authorization dates to ensure ongoing work authorization.
- Provide job codes for monthly drug & background tests for AP job costing.
- Manage company-wide expense reimbursements and processing monthly.
- Support HR team with special tasks or projects, as assigned.
Gallo Culture Champion:
- Plan and coordinate company social events and charitable volunteer opportunities.
- Manage quarterly anniversary celebrations collaborating across all offices, office lunches, and lining up attendees for sponsored events.
- Manage Gallo swag store & ordering company merch for offices/events.
- Lead admin for our employee recognition and rewards software (Nectar).
- Partner with HR Director and People Operations Generalist on organizing training programs and/or employee retention/engagement programs.
IDEAL EXPERIENCE & QUALIFICATIONS:
- Bachelor's degree in Human Resources, Business, or related field.
- 2 years of HR, benefits, or administrative experience.
- Knowledge of employee benefits and compliance requirements preferred.
- Tech savvy – Strong software skills/HRIS systems/MS Office/advanced Excel (VLOOKUPs, pivot tables, etc.)
- Excellent interpersonal and communication skills, with a service-oriented mindset.
- Strong attention to detail, organization, and problem-solving skills.
- Enthusiastic team player, driven to collaborate and innovate.
- Ability to handle confidential information with sensitivity, discretion, and professionalism.
