The Events Director is responsible for the planning, coordination, and flawless execution of all private and special events. This role oversees the events team, manages client communications, and partners with the culinary and operations departments to ensure each event reflects GAIA’s service standards and delivers an exceptional guest experience. The Events Director also plays a leadership role in budgeting, resource allocation, and continuous improvement of event operations.
R E S P O N S I B I L I T I E S
Essential Functions
- Lead the full event cycle, including initial inquiry, planning, execution, and post-event evaluation.
- Manage client communications: conduct site visits, capture vision and requirements, and provide detailed event proposals and contracts.
- Partner with the General Manager and Executive Chef on event menus, layouts, and service standards.
- Supervise and schedule event staff; delegate responsibilities using event checklists to ensure tasks are completed accurately and on time.
- Act as the primary point of contact during events, overseeing service quality, food and beverage delivery, and guest satisfaction.
- Ensure compliance with company policies, health and safety regulations, and client contracts.
- Conduct post-event debriefs to evaluate performance, address issues, and identify areas for improvement.
- Maintain organized event records, contracts, and billing documentation.
- Monitor event budgets to ensure cost-effective execution while maintaining quality standards.
- Perform other related duties as assigned to support successful event and operational outcomes.
Additional Responsibilities
- Develop and maintain vendor relationships for event support (e.g., AV, décor, florals).
- Ensure proper inventory management for event-related supplies.
- Train and mentor event staff to uphold GAIA’s service standards.
- Collaborate with Marketing to align event promotions with GAIA branding.
- Participate in community and industry networking to enhance GAIA’s visibility as a premier event venue.
- Support adoption of event management technologies for greater efficiency.
- Identify and implement process improvements to enhance efficiency and guest satisfaction in event operations.
- Travel occasionally for offsite or promotional events.

- Bachelor’s degree in Hospitality, Event Management, or related field preferred.
- Minimum 5–7 years of experience in event management, with at least 2 years in a supervisory or leadership role.
- Experience in luxury hospitality or fine dining event production strongly preferred.
- Demonstrated success in planning and executing high-quality events.
Work Environment:
- Fast-paced hospitality and event environment with variable noise levels.
- Exposure to indoor and outdoor event spaces; may involve heat, cold, or inclement weather.
- Schedule and hours vary depending on business needs, including evenings, weekends, and holidays.
- Occasional travel may be required.
