Responsibilities
Content Intake
- Coordinate intake and delivery of media, metadata, artwork, and related assets for licensed and externally produced content
- Communicate onboarding and delivery requirements with licensors, producers, and external partners
- Manage content folders, permissions, vendor access, and troubleshooting within file delivery platforms such as Signiant
- Review incoming assets against contractual requirements with Acquisitions and Publishing teams
- Track asset status, delivery timelines, QC, and approvals throughout the publishing pipeline (Airtable)
- Process media through automated technical QC systems and review QC reports
- Communicate technical issues with licensors/partners and track revisions through final approval
- Perform media preparation and formatting tasks including transcoding, subtitle burn-ins, pre-roll insertion, frame verification, and delivery formatting
- Coordinate title approvals and collaborate with Accounting and Acquisitions to ensure licensors are paid according to contract terms
- Maintain organized archives of media assets, metadata, artwork, music cue sheets, and related materials
- Monitor and optimize server storage and archive systems
- Restore archived media assets and tape-based materials as needed
- Assist with node creation and ingestion of media content to Gaia’s publishing platform
- Support localization and third-party distribution workflows
- Upload media for piracy protection on YouTube
- Assist with post-event asset management, including verifying published versions and archiving finalized masters
- Participate in weekly publishing and operations meetings to support scheduling and delivery readiness
- Collaborate across Digital Operations, Publishing, Production, Marketing, and Post Production teams on ongoing initiatives and time-sensitive projects
- Contribute to operational documentation, workflow improvements, automation initiatives, and AI-assisted process optimization
- Maintain awareness of publishing schedules and support quick-turnaround operational needs
- Occasional evening/weekend support may be requested for live events or priority publishing windows
Required
- Highly detail-oriented with strong follow-through and problem-solving skills
- Strong written and verbal communication skills
- Experience in digital media operations, digital asset management, content publishing, or a related field
- Familiarity with video/audio formats, codecs, and delivery specifications
- Experience with Adobe Premiere or similar media editing/transcoding tools
- Ability to manage multiple projects and deadlines simultaneously
- Ability to work independently and collaboratively across teams
- Comfortable learning new systems and workflows quickly
- Understanding of streaming and Video on Demand ecosystems
- Experience in broadcast, streaming, post-production, or content distribution environments
- Experience with DAMs, MAMs, and relational databases (Airtable experience a plus)
- Familiarity with media QC standards, file delivery platforms, video transcoding, and editing
- Familiarity with archive restoration or tape-based media workflows
- Experience with Agile project management methodologies (Scrum/Kanban)
- Bachelor’s degree or equivalent professional experience
- Interest in Gaia’s mission and content
