JOB SUMMARY
The Finance Associate is responsible for managing and processing all accounts payable activities, ensuring accurate, timely, and compliant payment of vendor invoices. This role supports the finance team by maintaining accurate financial records, reconciling accounts, and assisting with month-end close activities.
The ideal person should be able to work closely with a China based Financial Shared Service Center and be able to interact with them on a daily frequency, review their work and guide them as necessary
*This job is 5 days per week in our NY Office.
KEY RESPONSIBILTIES
- Prepare and process weekly/bi-weekly payment runs (ACH, wire, checks).
- Download Credit Card statement weekly and send to FSSC.
- Advance monthly transactions, generate PO in BC and code and post the Import list to BC.
- Tax compliance and file form 1099 in NY Finance – Manager EQ.
- Assist with month-end and year-end closing activities, including accounting for small companies.
- Maintain organized and accurate AP files and documentation.
- Support internal and external audits as required.
- Collaborate with procurement, receiving, and other departments to resolve issues.
- Handle Petty cash.
- Support unresolved vendor and /or invoice issues.
- Review AP aging and AP invoice register.
- Review payment run.
- Ad hoc requests.
- Issue of rental invoices and their collection.
- Scanning, filing, storage in Share Point and upload Check to BC).
- Handle administration in accounts department.
QUALIFICATIONS
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
- 4 years of accounts payable or general accounting experience
- Strong understanding of AP processes and accounting principles
- Experience with ERP/accounting systems (e.g., Microsoft Business Central, QuickBooks)
- Computer literate including automation
- Proficiency in MS word, MSExcel, Vlookup, pivot tables
- High attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to meet deadlines in a fast-paced environment
- Good communication and problem-solving skills
- Experience in high-volume AP environments preferred.
- Knowledge of international payments and multi-currency transactions preferred.
- Experience with 1099 reporting and sales/use tax preferred.
- Prior audit support experience preferred.
COMPENSATION & BENEFITS
- Compensation Range: $70,000 to $85,000 per year
