We are an elder law and estate planning law firm headquartered in Smithtown, NY with fully staffed offices in Melville and Garden City. We are seeking a professional, compassionate, and organized Receptionist for our Melville office. The Receptionist will serve as the first point of contact for our clients. This position is ideal for someone who enjoys helping people, thrives in a fast-paced professional environment, and takes pride in providing exceptional customer service to clients and as well as dedicated support to the office.
Responsibilities:
- Welcome clients and visitors in a warm, professional, and courteous manner.
- Answer and direct incoming phone calls using a multi-line phone system.
- Schedule appointments for attorneys.
- Confirm appointments and assist with calendar management.
- Assist with client intake forms and administrative paperwork including client payments.
- Receive, sort, and distribute incoming mail and deliveries.
- Maintain confidentiality of client information at all times.
- Maintain a clean, organized, and welcoming reception area.
- Manage inventory and order supplies, maintain an organized stockroom and break room.
- Point person and liaison for office equipment and technology i.e. computers, copiers, scanners, telephones.
- Point person and liaison for building and facilities.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- Minimum of 2 years of receptionist, administrative assistant, or customer service experience in a professional office.
- Law firm, financial services, or other professional office experience is preferred.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Professional appearance and demeanor.
- Ability to manage multiple priorities while remaining calm and courteous.
- Proficiency with Microsoft Office (Outlook, Word, and Excel).
- Experience with legal practice management software is a plus.

Salary Range & Benefits:
· $50,000 - $60,000 annual salary based on experience
· 401K and matching (after vesting period)

· 23 days paid time off and 10 paid holidays
