POSITION SUMMARY
The Sales Coordinator plays a key role in driving business growth by supporting the coordination of quotes, pricing, and sales data across internal teams and external partners. Acting as a bridge between Supply Chain Management operations and Business Development efforts, this role ensures that customer quotes are accurate, timely, and strategically aligned with company goals. A strong Sales Coordinator will seamlessly manage pricing data, coordinate vendor quotes, and maintain sales-related documentation. This position manages cost data, vendor quotes, and labor hour tracking to support competitive proposals and informed decision-making.
JOB RESPONSIBILITIES
Sales & Pricing Coordination | 50%
Core Competency: Analytical & Strategic Thinking
- Maintain and continuously update the Cost of Goods Sold (COTS) pricing spreadsheets, including CONUS, OCONUS, and USG, with accurate costs, materials, and labor data.
- Collect, analyze, and reconcile labor hour estimates and actuals from various internal teams including, but not limited to, engineering and manufacturing.
- Coordinate with vendors to request and compare quotes, ensuring best value and alignment with designated timelines, to update the company catalog based on validity of catalog pricing.
- Populate various spreadsheets with updated quotations.
- Work alongside supply chain, manufacturing, engineering, and program management teams to maintain labor hours for all phases of the product design-to-delivery process, ensuring updated and timely documentation of labor estimates and actuals.
- Prepare and provide quotes for customers and internal business development teams.
- Analyze quote data and past performance metrics to identify cost trends, pricing gaps, or efficiency opportunities.
Sales Tracking & Reporting | 20%
Core Competency: Data & Document Management
- Maintain an organized sales tracking system for all Requests for Quotes (RFQs) from both internal and external contracts.
- Maintain historical pricing and all associated data correlated to historical pricing efforts.
- Maintain and update all commercial pricing and commercial catalog materials, product-specific pricing and product-specific catalog materials, and customer pricing and customer-specific catalog materials.
- Ensure full, accurate, and timely integration between pricing and the company ERP system.
- Record and monitor key performance metrics such as quote-to-award ratios, vendor response times, and cost accuracy.
- Support preparation of sales reports, dashboards, and bid summaries for leadership review.
- Ensure all supporting documentation (quotes, correspondence, terms, and vendor data) is current and properly archived.
- Reconcile data between the pricing spreadsheet, ERP system, and CRM tools to ensure consistency across platforms.
- Support audit readiness by maintaining clear, accurate, and traceable cost and quote records.
Cross-Functional Coordination & Customer Support | 30%
Core Competency: Communication & Collaboration
- Communicate clearly with vendors and customers to obtain, clarify, or confirm all cost, pricing, and delivery details.
- Maintain ongoing, prompt, and fluid communication with external customers, vendors, and suppliers as well as internal personnel across various teams, ensuring all relevant details are covered and documented including, but not limited to, CONUS, OCONUS, quantities, shipping & freight, value-added taxes (VATs), duty taxes, terms and conditions, and more.
- Establish and maintain a strong presence via the sales@ email address, the company sales phone line, and all sales-related efforts via the company website.
- Coordinate with Technical Publications personnel for all creative and configuration management efforts related to various catalog updates, as approved and needed.
- Contribute to continuous improvement initiatives focused on streamlining communication, pricing workflows, and proposal development.
- Represent the company with professionalism, integrity, and attention to customer needs.
PHYSICAL REQUIREMENTS
- Ability to lift light loads as necessary.
- Ability to operate in a clerical setting, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
- Ability to work in a warehouse and/or manufacturing environment, which may include varying temperatures and noise levels.
PREFERRED KNOWLEDGE, SKILLS & ABILITIES
- At least 5 years of experience in supply chain management, preferably within the aerospace defense sector
- At least 2 to 4 years of experience in sales coordination or business development support
- In-depth knowledge of armament systems, defense industry standards, and regulations
- Strong negotiation, communication, and interpersonal skills
- Strong written and verbal communication skills
- Exceptional organizational and time management skills
- High attention to detail and ability to work under pressure
- Analytical mindset with the ability to make data-driven decisions
- Proficient in Microsoft applications and software, like Excel, Outlook, PowerPoint, Project, Teams, Visio, and Word
- Familiarity with procurement software and ERP systems
- Working knowledge of Adobe Acrobat Pro
REQUIRED EDUCATION
- High School diploma or equivalent required.
- Bachelor’s Degree preferred or 5 years of sales coordination, business development, and/or supply chain management experience preferably within the aerospace defense sector
SECURITY CLEARANCE REQUIREMENT
Subject to a security investigation and may need to meet eligibility requirements for access to classified information. A SECRET, TS, or TS/SCI clearance may be required.
