Job Summary:  Treatment Coordinator/Referral Relationship Specialist

The Treatment Coordinator’s role is integral to practice success and is considered a sales position.  The candidate will be responsible for ensuring patients receive a correct treatment plan as diagnosed by the doctor, provide financial alternatives, assist the patient in removing any barriers to treatment, and assisting the doctor with closing the patient’s case.

Additionally, this role is to create and foster relationships in the community with referring dentist practices, its team members, and patients to generate surgery referrals to our practice. In this role you will be the "face of the brand" and represent the local Frontline practice and Oral Surgeon.

 

Duties and Responsibilities

  • Maintain a high understanding of the practice’s lead-to-sales process.
  • Nurture leads and opportunities as defined by the lead to sales process training.
  • Partner with Marketing Manager on marketing campaigns and follow up on targeted leads from campaigns.
  • Assist with content creation for marketing platforms as requested (patient testimonials)
  • Present (or compliment the doctor’s presentation) of comprehensive plan to patients from the consult or initial examination.
  • Provide financial alternatives and assist with 3rd party financing.
  • Coordinate patient’s care, necessary appointments, and team member hand offs.
  • Track case acceptance and report daily/weekly.
  • Track and follow up with all patients who have unscheduled treatment.
  • Use practice management and other pertinent software accurately, by entering correct data into systems to ensure patient’s care is precisely documented.
  • Maintain individual and practice statistics (KPI-Key Practice Indicators) as assigned.
  • Maintain relationships with all current and potential affiliate offices through networking, office visits, educational events, and community events
  • Prospect, contact, visit, and partner with new and potential affiliate offices 
  • Foster and cultivate a professional relationship with referral providers    
  • Present to doctors or prospective patients in a classroom setting to a medium-sized crowds (Seminars/ Lunch & Learns)  
  • Be the liaison between Frontline Affiliate office, referral doctors' practices, Marketing, and Operations leadership to communicate accurate and updated practice information, as well as patient information
  • Schedule and direct seminars, be the direct contact with all advertising channels/methods, vendors, and guest speakers for seminars (shared responsibility with Operations Manager)
  • Actively participate in seminars and webinar marketing efforts to increase lead generation  
  • Maintain excel sheets and update Salesforce (both on sales and referral dashboards)

  • Prior experience working in Salesforce or comparable CRM helpful
  • Time management skills and organizational skills are key to success in this role
  • Outgoing personality, not afraid to approach new people and unfamiliar environments to foster new relationships. Must be able to be told no without being discouraged.
  • Valid driver's license, auto insurance, and reliable transportation is required
  • Must have flexibility with schedule to attend events that occasionally occur evenings and weekends
  • Ability to travel for training during orientation
  • MS Office knowledge and experience with applications

 

 

Education and Experience

  • Highschool diploma required, higher education preferred.
  • 2 years of prior sales experience preferred
  • Dental experience required
  • Fluent in English required and Spanish as second language is a plus.
 

 

 

Physical Requirements

  • Ability to withstand prolonged periods of sitting at a desk, driving, using a phone, and working at a computer.
  • Ability to move within the office as needed for meetings, access office equipment, and escort patients to treatment areas.
  • Ability to lift to 25 pounds if necessary.
