226 Primary Purpose
Provide comprehensive administrative, data, and student records support for the Frisco Flex virtual and hybrid program. Ensure efficient program operations, accurate student records management, and compliance with district and state reporting requirements.
Qualifications
Education/Certification
High school diploma or GED
Some college preferred
Special Knowledge/Skills
Proficiency in Google Docs program, word processing, Excel program, databases, and file maintenance
Effective organizational, communication, and interpersonal skills
Ability to meet deadlines in a multitasking, interruption-rich environment
Knowledge of basic accounting principles
Ability to work independently, problem-solve, and collaborate with a team
Ability to manage confidential information with accuracy and discretion
Experience
Minimum of three years of administrative, clerical, or data support experience preferred
Experience In a Public Education Environment Strongly Preferred
Experience with student information systems and records management preferred
Major Responsibilities And Duties
Program and Administrative Support
Organize and manage routine administrative operations for the Frisco Flex program.
Maintain physical and electronic filing systems for program documentation.
Answer incoming calls, take reliable notes, and route communications to appropriate staff.
Schedule meetings and appointments and maintain calendars for program leadership.
Make travel arrangements for department staff.
Receive, sort, and distribute mail and electronic documents.
Prepare written correspondence, forms, schedules, and reports as assigned.
Update handbooks, manuals, and internal documents as directed.
Assist staff, parents, students, and community members as needed.
Perform routine bookkeeping tasks and assist with purchase orders and payment authorizations.
Maintain confidentiality of all sensitive program, personnel, and student information.
Assume responsibility for ongoing learning related to student records, systems, and compliance requirements.
Student Records and Enrollment Management
Create, maintain, and update physical and electronic student cumulative records, including enrollment, withdrawal, and residency documentation.
Maintain student academic records such as attendance, grades, eligibility, class rosters, and schedule changes for new, existing, and transfer students.
Ensure accuracy, completeness, and confidentiality of all student records in accordance with district and state requirements.
Transcripts, Credits, and Academic Records Authority
Manage official student transcripts, including credits earned, grades, GPA, and class rank.
Process transcript requests for student transfers, graduation verification, and postsecondary institutions.
Ensure transcript accuracy for students enrolling, withdrawing, or transferring within or outside the district.
Scheduling and Student Information Systems
Assist with maintaining and updating the master schedule and individual student schedules as applicable to the program model.
Enter, update, and verify student scheduling data across district student information systems.
State Reporting And Data Compliance
Key, verify, and maintain PEIMS source and results data in accordance with state and district procedures.
Identify, resolve, and correct data discrepancies prior to submission.
Prepare and generate reports related to demographics, attendance, enrollment, grades, scheduling, and transcripts.
Systems and External Data Interfaces
Interact with third-party systems including online registration platforms, state student records transfer systems, career readiness software, and college admissions transcript systems.
Ensure data accuracy and consistency across internal and external systems.
Other Duties As Assigned
