The Unit Clerk serves as a liaison between nursing staff, medical providers, patients, families, and ancillary departments to ensure smooth daily operations and exceptional patient care.
Essential Duties & Responsibilities
- Answer and route incoming phone calls professionally.
- Maintain patient charts and ensure medical records are accurate, complete, and properly filed.
- Enter admissions, transfers, and discharges into the electronic health record (EHR).
- Assist nursing staff with administrative and clerical duties.
- Coordinate communication between patients, families, providers, and hospital staff.
- Monitor and maintain unit supplies and report equipment concerns.
- Assist with transportation coordination for admissions, discharges, and appointments.
- Support data collection, reporting, and tracking for nursing leadership.
- Fax, copy, email, and distribute patient-related documents as needed.
- Assist with physician rounds and communication of orders.
- Participate in departmental meetings and training activities.
- Perform other duties as assigned by leadership.
Education
- High School Diploma or GED required.
- Knowledge of medical terminology preferred.
- Minimum one (1) year of clerical, receptionist, unit secretary, or healthcare administrative experience preferred.
- Experience in a hospital or behavioral health setting is a plus.
- Strong communication and customer service skills.
- Excellent organizational and time management abilities.
- Ability to maintain confidentiality and HIPAA compliance.
- Basic computer proficiency and data entry skills.
- Ability to work in a fast-paced healthcare environment.
- Strong interpersonal and problem-solving skills.
- Valid driver's license preferred.
- CPR certification (or ability to obtain upon hire).
- Ability to pass background screening and drug screening.
- Ability to work flexible schedules, weekends, and holidays as needed.
- Ability to stand, walk, bend, and sit for extended periods.
- Ability to lift and carry up to 10 pounds.
- Ability to work in a psychiatric hospital environment and respond appropriately during emergencies.
