Position Overview: The Patient Care Coordinator plays a critical role in ensuring the smooth operation of the front desk in our clinic. This position involves greeting patients, scheduling appointments, managing patient records, and coordinating patient care with other healthcare professionals. The Patient Care Coordinator must have excellent communication skills, a customer service-oriented approach, and an understanding of the unique needs of patients in a behavioral health setting.
Key Responsibilities:
- Front Desk Operations: Greet patients as they arrive at the clinic, check them in, and ensure a welcoming and professional environment. Answer phone calls and direct them to the appropriate departments or personnel.
- Appointment Scheduling: Coordinate patient appointments, including initial assessments, follow-ups, and therapy sessions. Maintain an organized scheduling system to avoid conflicts and ensure efficient clinic operations.
- Patient Registration and Intake: Assist new patients with the registration process, ensuring all necessary forms are completed accurately. Update patient information in the electronic health record (EHR) system as needed.
- Insurance Verification and Billing: Verify patient insurance information and ensure proper documentation for billing purposes. Assist patients with questions regarding insurance coverage and co-payments.
- Patient Care Coordination: Coordinate with therapists, psychiatrists, and other healthcare providers to ensure seamless patient care. Communicate patient needs and requests to the appropriate staff members.
- Records Management: Maintain accurate and up-to-date patient records, ensuring compliance with healthcare regulations such as HIPAA. Manage patient files, ensuring confidentiality and security.
- Patient Education and Communication: Provide patients with information about clinic services, policies, and procedures. Address patient inquiries and resolve any issues or concerns.
- Crisis Management: Be prepared to handle emergencies or crisis situations, following clinic protocols and ensuring patient safety. Notify appropriate personnel or emergency services when necessary.
Qualifications:
- Education: High school diploma or equivalent required. Some college coursework in healthcare administration or related fields is preferred.
- Experience: role, preferably in a healthcare setting. Experience in behavioral health is a plus.
- Skills: Excellent communication and interpersonal skills. Strong organizational abilities and attention to detail. Ability to multitask in a fast-paced environment.
- Technical Proficiency: Proficient in using EHR systems and other office software (e.g., Microsoft Office suite). Familiarity with medical billing and insurance processes.
- Personal Attributes: Empathetic, patient-focused, and able to handle sensitive information with discretion. Strong problem-solving skills and the ability to remain calm under pressure.
