Overview:
We are seeking an experienced Legal Administrative Assistant to support attorneys and practitioners within our Patent Practice Group.
Key Responsibilities Include:

We are seeking an experienced Legal Administrative Assistant to support attorneys and practitioners within our Patent Practice Group.
Key Responsibilities Include:
- Patent Prosecution Support: Assist with preparation and filing of patent documents, including office action responses and related materials, and coordinate post-filing activities.
- Client & Foreign Associate Communications: Manage, track, and distribute correspondence with clients and foreign associates, and ensure timely and accurate client reporting.
- Docket Management & Deadline Monitoring: Maintain and review docket reports, track deadlines, and ensure timely communication of upcoming actions to attorneys and practitioners.
- File & Document Management: Open new matters and maintain organized electronic files.
- Billing, Expenses & Administrative Support: Process invoices and expenses, assist with time entry, and support billing setup and tracking.
- Mail & Reporting Responsibilities: Review and report incoming patent-related mail to clients in accordance with established procedures and timelines.
- Three plus years of legal assistant, paralegal or other relevant legal/IP support experience (patent or trademark experience preferred, but not required);
- Familiarity with patent prosecution processes and USPTO procedures;
- Experience with docketing systems and document management tools (e.g., CPi, iManage or similar);
- Strong organizational skills with exceptional attention to detail;
- Ability to manage multiple priorities and meet tight deadlines;
- Excellent written and verbal communication skills; and
- Proficiency in Microsoft 365 and legal billing/expense systems.
