Position Summary
We are seeking a friendly, organized, and detail-oriented Receptionist / Office Administrator to be the front-line face and voice of Frechette Oil. This role combines customer service, billing, dispatching/routing of delivery drivers, bookkeeping support, and general office duties. The ideal candidate thrives in a fast-paced environment, enjoys helping customers, and can juggle multiple responsibilities with accuracy and a positive attitude.
Key Responsibilities
- Answer and manage incoming phone calls in a professional, courteous manner; respond to customer inquiries about deliveries, billing, service, and general questions.
- Greet and assist customers who visit the office in person.
- Process customer billing, including preparing invoices, recording payments, and handling account inquiries or adjustments.
- Route and dispatch oil truck drivers for daily delivery routes, coordinating schedules efficiently based on customer needs, weather, and priorities.
- Perform general bookkeeping and office support tasks such as data entry, filing, record-keeping, and maintaining accurate customer and delivery records.
- Assist with scheduling service appointments and coordinating between customers, drivers, and technicians as needed.
- Maintain a clean, organized front office and ensure smooth daily office operations.
- Handle other administrative duties and special projects as assigned.
Requirements
- Strong customer service skills with a friendly, professional phone and in-person demeanor.
- Excellent organizational and multitasking abilities; ability to prioritize in a busy office environment.
- Basic bookkeeping or billing experience preferred; comfort working with numbers and accounts.
- Proficiency with computers, including Microsoft Office (Word, Excel, Outlook) and general data entry.
- Clear verbal and written communication skills.
- Reliable, punctual, and detail-oriented with a strong work ethic.
- Ability to learn company systems and procedures quickly.
- High school diploma or equivalent required.
Preferred Qualifications
- Previous experience in a receptionist, administrative, dispatch, or customer service role (oil/fuel, utility, or service industry experience is a plus).
- Familiarity with billing software, accounting systems, or route dispatch tools.
- Knowledge of the Mount Washington Valley / North Conway area.
- Bookkeeping or basic accounting coursework/experience.
Pay: $20.00 - $23.00 per hour
