Frazier Law, PLLC—a growing, entrepreneurial business law firm—is seeking a full-time or part-time (20 hours per week) experienced Legal Secretary to provide high-level administrative support to the firm’s attorneys, paralegals, and management. This role centers on legal docketing and calendar management, case file organization, and the day-to-day administrative work that keeps a busy litigation practice running smoothly. It requires exceptional organizational skills, meticulous attention to detail, and discretion when handling sensitive information.
RESPONSIBILITIES
- Maintain the firm’s litigation docket and master calendar—entering, calculating, and tracking court deadlines, hearing dates, discovery cutoffs, and other case events under the applicable court rules
- Monitor filed documents, orders, and service, and calendar all resulting deadlines so attorneys and paralegals stay ahead of every due date
- Open new matters, maintain the firm’s filing and document-management systems, and close out files
- Organize and maintain case files, evidence, and exhibits so all documentation is accurately filed and easily accessible
- Manage and maintain attorneys’ schedules, including arranging meetings, depositions, and court appearances
- Coordinate with clients, witnesses, and experts to schedule interviews, depositions, and other case-related activities
- Serve as a liaison between clients, attorneys, and other parties
- Handle incoming and outgoing correspondence, including phone calls and emails
- Prepare and edit correspondence, presentations, memoranda, and other work product
- Provide general administrative support to attorneys and paralegals as needed
QUALIFICATIONS
- Minimum of 3 years of experience as a legal secretary, legal administrative assistant, legal assistant, or similar administrative role within a law firm environment, including hands-on legal docketing and calendar management
- Working knowledge of court deadlines and how to calculate them under the applicable rules; experience with docketing/calendaring software strongly preferred
- Strong case-file management and organizational skills
- Proficiency with legal terminology, procedures, and documentation
- Proficiency in Microsoft Office applications (most importantly Word, Outlook, and Excel) and document management systems
- Excellent time-management skills with the ability to adapt quickly to a fast-paced environment
- Strong interpersonal skills, with the ability to build and maintain effective relationships with staff and clients
- Solid drafting, proofreading, and editing skills
- Reliability, flexibility, and the ability to manage multiple tasks independently and as part of a team
- Willingness to take on new responsibilities and challenges
COMPENSATION
Compensation is negotiable based on experience, desired workload, and related factors, ranging from approximately $70,000–$95,000 per year for a full-time Legal Secretary, proportionately less for a part-time position. Health insurance benefits are available for full-time Legal Secretaries.
LOCATION
At present, Frazier Law, PLLC is a virtual law firm that maintains a physical “virtual office” for mailing, meeting room, and related purposes. Accordingly, the Legal Secretary will be expected to work virtually. If Frazier Law, PLLC does lease or buy office space, it intends to implement a flexible “hybrid” work model for its full-time team members.
