Position: Elementary School Secretary Location: Lincoln K-2 School Reporting Relationships: The Assistant Principal reports to the Lincoln K-2 PrincipalTerms of Employment: Full-Time, Twelve months per yearSalary: As per Secretary ContractThis position qualifies for town benefits, including Health Insurance General Overview: Franklin Public Schools is seeking a school secretary to ensure the smooth and efficient operation of the school office. Key Duties and Responsibilities:
- Perform routine office and administrative functions to support the daily operations of the school and administrative office
- Receive, respond to, and appropriately route incoming telephone calls, messages, and inquiries
- Maintain the student information database by entering, updating, and retrieving student records
- Maintain accurate and confidential student records and files
- Process student report cards
- Build and process student schedule changes and adjustments
- Greet visitors, provide assistance, and ensure compliance with visitor sign-in procedures
- Maintain daily staff attendance records and related documentation for substitute teachers
- Report staff attendance information to the Payroll Office
- Coordinate and schedule meetings and prepare meeting materials as needed
- Make public address (PA) announcements, as necessary
- Prepare, type, and distribute school newsletters and other communications
- Coordinate mass mailings to students' homes
- Order, maintain, and monitor office and school supplies
- Process purchase orders and invoices for payment and monitor expenditures for budget allocation
- Assist in the preparation and monitoring of the school budget
- Sort and distribute mail; photocopy, file, and maintain correspondence, invoices, records, and other documents
- Schedule appointments for the Principal, as needed
- Perform other duties and responsibilities as assigned by the Principal
- High School Diploma or equivalent, Associate's degree preferred
- Previous secretarial/administrative experience
- Familiarity with Microsoft Office, Google Suite, and other software applications
- Proficiency in use of e-mail and financial software
- Ability to maintain confidentiality
- Ability to effectively and professionally interact with children, parents, staff
