JOB SUMMARY:
The EHR Trainer is responsible for designing, delivering, and sustaining training programs for the Electronic Health Record (EHR) system. This role supports providers and clinical staff in effectively using the EHR to promote accurate documentation, regulatory compliance, and efficient workflows. The position is centered on training, education, and continuous performance improvement in EHR utilization.
Key Responsibilities
1. Design and deliver role-based training for providers, nurses, medical assistants, and administrative staff on EHR workflows and best practices
2. Provide initial onboarding training for new hires and ongoing education for all clinical staff
3. Participate in clinical training sessions and organizational updates to remain current and ensure accurate training delivery
4. Develop and maintain training materials, including user guides, job aids, and workflow documentation aligned with FQHC requirements
5. Provide one-on-one and group training sessions during implementation, upgrades, and ongoing operations
6. Serve as a subject matter expert (SME) for EHR-related questions, troubleshooting, and workflow optimization
7. Monitor EHR usage across clinical staff to ensure compliance, accuracy, and efficiency
8. Monitor open encounters and documentation workflows to support timely completion and adherence to quality measures
9. Train and reinforce workflows that support quality initiatives and regulatory requirements (e.g., HRSA, UDS reporting)
10. Identify gaps in EHR usage and provide targeted retraining and re-education as needed
11. Collaborate with clinical leadership, IT, and compliance teams to align training with organizational goals and regulatory standards
12. Assist with testing new software releases, upgrades, and system enhancements prior to implementation
13. Support system maintenance, reporting functions, and data quality initiatives
14. Assess training effectiveness and adjust programs based on user feedback, performance data, and system updates
15. Promote data integrity, patient privacy, and adherence to HIPAA guidelines
16. Identify workflow improvement opportunities and recommend solutions to enhance efficiency
17. Perform other duties as assigned by the EHR Clinical Training Coordinator

PERFORMANCE STANDARDS:
Performance will be evaluated annually by the EHR Clinical Training Coordinator or designee, with a satisfactory overall rating considered the minimum acceptable level of performance.
HEALTH AND SAFETY:
1. Must adhere to safety policies and procedures.
2. Must receive Safety and Hazardous Communication training annually.
3. Must exercise universal precautions and comply with safety standards and procedures.
4. Knowledgeable of OSHA and CLIA requirements to assure compliance.
PRIVACY RULE COMPLIANCE REQUIREMENTS:
1. Adheres to Health Insurance Portability and Accountability Act (HIPAA Privacy Rule) policies and procedures.
2. Must successfully complete Privacy Rule compliance training annually or as revisions are made to the policies and procedures.
3. Must comply with Privacy Rule guidelines by learning to protect FPHC patients’ medical privacy.
4. Must comply with Privacy Rule guidelines by appropriately maintaining our patient information in compliance with national standards.
5. Must comply with Privacy Rule guidelines by providing appropriate security of FPHC patient record
Qualifications:QUALIFICATIONS:
EDUCATION/EXPERIENCE: Associate or bachelor’s degree in Health Information Management, Healthcare Administration, Nursing, Information Technology, Health Informatics, or a related clinical discipline preferred. An equivalent combination of education and relevant work experience may be considered. Minimum of three (3) years of experience in a healthcare or medical setting, including hands-on use or training of Electronic Health Record (EHR) systems. Experience in EHR training or supporting EHR users is strongly preferred. Must demonstrate knowledge of organizational policies and procedures.
KNOWLEDGE, SKILLS AND ABILITIES: Strong communication and presentation skills, ability to effectively train and support diverse audiences, including providers, nurses, medical assistants, and administrative staff, strong problem-solving and troubleshooting abilities, Working knowledge of clinical workflows and quality improvement processes, ability to adapt to new systems, updates, and evolving technology, effective time management and organizational skills, ability to communicate clearly and professionally with patients, staff, and visitors.
