We are seeking a highly organized and proactive IT Administrative Coordinator to provide professional support to senior IT leadership, including IT Directors and executive stakeholders. This role plays a key part in enhancing the effectiveness of the IT function through coordination of priorities, initiative tracking, leadership reporting, communications, and operational activities.
Key Responsibilities
Administrative & Leadership Support
- Provide structured administrative support to IT leadership, ensuring priorities, schedules, meetings, and key activities are coordinated effectively.
- Assist with annual planning activities, budgeting cycles, reporting processes, and preparation of leadership materials.
- Coordinate calendars, meetings, documentation, and follow-up actions across IT teams.
Project & Initiative Coordination
- Support the tracking and coordination of major IT initiatives and projects.
- Assist with milestone tracking, governance reviews, reporting dashboards, and status updates for leadership visibility.
- Coordinate recurring operational reviews, metrics reporting, and cross-functional updates within the IT department.
Communication & Presentation Support
- Prepare, edit, and format presentations, reports, briefings, and professional correspondence for internal and external audiences.
- Ensure communications and documentation maintain a polished and professional standard.
Operational Support
- Coordinate incoming requests, governance documentation, audit materials, and shared IT resources.
- Provide logistical and administrative support for meetings, training sessions, vendor coordination, and peak operational activities.
- Help maintain alignment, organization, and timely follow-through across IT operations.
Requirements
- Bachelor’s degree preferred or equivalent professional experience.
- 3 years of experience supporting senior leaders or teams within a corporate, professional services, or IT environment.
- Strong organizational, planning, and multitasking abilities with exceptional attention to detail.
- Proficiency in Microsoft Office Suite including PowerPoint, Word, Excel, and Outlook.
- Experience with Microsoft Teams, SharePoint, and scheduling tools is preferred.
- Excellent written and verbal communication skills with the ability to create executive-level materials.
- Ability to manage confidential information with discretion and professionalism.
- Self-motivated, adaptable, and capable of managing competing priorities effectively.
Salary : $60,000 - $80,000
