Job Description: Accounts Payable Clerk / Accounting Associate

Framingham Country Club is seeking a detail-oriented Accounts Payable Clerk/Accounting Clerk to join its accounting team. This position is responsible for processing, recording, verifying, and paying invoices and expenses, responding to vendor inquiries, and supporting ongoing accounting operations.

Summary of the Accounts Payable Function

The Accounts Payable function manages the club’s financial obligations to vendors and service providers, ensuring all invoices and outgoing payments are accurate and paid timely. AP responsibilities include processing invoices with appropriate approvals, payment scheduling, and vendor statement reconciliation. Also, maintaining organized accounts payable records including updated insurance certificates and W9s all while complying with internal controls. Understanding the 1099 process is a must. Ensuring accuracy in general ledger invoice coding while utilizing JONAS software for all financial transactions. Processing check runs on a weekly basis. Main contact for all vendor inquiries.

Other Tasks

• Run and reconcile daily sales reports, reconcile cash boxes and tip allocation

• Review and record all member payments

• Bank Deposit & Post Office as needed

• Maintain capital purchase binders

• Assist with special projects assigned by the Controller, including month-end closing tasks

• Support office duties daily, including phones and member interaction

Essential Qualifications

• Proficiency in Microsoft Excel, Word, and Outlook – JONAS software a Plus

• Strong organizational and time management skills

• Knowledge of accounts payable, accounts receivable, and general ledger functions

• Effective internal and external communication skills

• 1–3 years of related experience
