This is a client-facing position requiring strong organizational skills, attention to detail, and the ability to build credible relationships with sophisticated clients and their advisors.
- Own the client onboarding process from start to finish, ensuring all steps are completed accurately and on time including signed agreements, completed intake forms, and document collection
- Proactively communicate with clients and their professionals (CPAs, attorneys, bookkeepers) throughout the engagement to gather documents, coordinate next steps, and maintain project momentum
- Join client calls with the Wealth Planner to support onboarding, implementation coordination, and discussions with client professional teams
- Support implementation of tax planning strategies, entity formations, estate plans, and asset protection structures recommended by advisors
- Prepare and organize client financial reports, exhibits, and technical documentation for client meetings
- Collect, compile, and evaluate client financial documents, tax returns, and entity structures to produce accurate summaries and identify missing information
- Manage multiple concurrent projects across different client families with exceptional attention to detail
- Monitor project timelines, identify bottlenecks proactively, and escalate issues before they cause delays
- Update project management systems to reflect current status and ensure team visibility across all workstreams
- Coordinate scheduling and introductions between clients and their professional teams
The ideal candidate:
- Learns new concepts quickly and takes initiative without waiting for step-by-step instructions
- Anticipates problems proactively and raises solutions before issues escalate
- Manages competing priorities and juggles multiple tasks daily with strong organizational skills
- Works effectively both independently and as part of a collaborative team structure
- Maintains exceptional attention to detail while moving quickly to keep projects on track
- Communicates clearly and professionally with clients, advisors, and external professionals
- Exercises high professional standards, sound judgment, and discretion in all interactions
- Brings a positive attitude and solutions-oriented mindset to challenges

An active Series 65 or Series 66 license is required. Experience working with high-net-worth clients, coordinating with CPAs/attorneys, or managing complex project workflows is strongly preferred.
Fractional Family Office provides medical, dental, and vision insurance, along with unlimited paid time off. We support professional development through certifications, continuing education, and training opportunities. This is an in-person role based in our Tampa office.
