JOB SUMMARY:
The Client Service Associate plays a critical role in delivering exceptional client experiences and supporting advisors in day-to-day operations. This position ensures smooth onboarding, accurate account servicing, and efficient workflow management. The CSA acts as a liaison between clients and advisors, maintaining high standards of accuracy, professionalism, and responsiveness.
ESSENTIAL DUTIES & RESPONSIBILITIES:
This position aids in the operations of the firm by providing concierge support in our solution implementation process. Specific responsibilities include, but are not limited to:
- Client Onboarding – Prepare and process new business paperwork and monitor client progression through account opening and onboarding as part of our concierge implementation service.
- Client Service & Account Maintenance: Respond to client inquiries promptly and professionally; prepare, send, and submit client service forms and requests; handle insurance and account servicing tasks, including RMD processing.
- Data & Document Management – Maintain accurate client data in CRM and other systems; organize and update client files in cloud storage; document workflows and ensure compliance with firm standards.
- Calendar & Communication Support – Schedule and confirm client appointments; manage advisor calendars for optimal time efficiency; assist with email management, proofreading, and client correspondence.
- Team Collaboration & Process Improvement – Participate in internal meetings and contribute to system enhancements; support compliance and operational initiatives as needed.
QUALIFICATIONS:
The ideal person for this role will be one with excellent time management capabilities and exceptional communication skills. This is a client facing role that assists in preparing paperwork, so meticulous attention to detail is a must.
- Bachelor’s degree
- Minimum 7 years administrative experience; 5 years in financial services; Fidelity experience preferred
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Excel, Outlook, and SharePoint.
- Ability to manage multiple tasks in a fast-paced environment.
- Warm, professional demeanor with attention to detail.
- Florida 2-15 Insurance License preferred
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
