Job Overview
The Accounting Specialist supports FPW’s financial operations through accurate and timely execution of daily and recurring accounting functions. This position facilitates hourly service billing and related documentation, while contributing to company-wide accounting activities such as reconciliations, financial reporting, and month and year-end close.
Working collaboratively across teams, the Accounting Specialist ensures financial accuracy, consistency, and efficiency across all operational areas. This role requires strong attention to detail, sound judgment, and a proactive approach to maintaining organized and reliable accounting processes.
Key Responsibilities
- Billing & Invoicing: Oversee and facilitate the monthly invoicing cycle for hourly creative and professional services, ensuring accuracy, consistency, and adherence to internal deadlines. Prepare billing worksheets, review Work-in-Progress (WIP) reports, and conduct lookback reviews to confirm billing accuracy and resolve discrepancies prior to invoicing.
- Reconciliation: Reconcile bank and credit card accounts monthly, resolving discrepancies as needed to maintain accurate financial records. Provide documentation and support for account reconciliations during month-end and year-end close.
- Financial Reporting: Assist with financial reporting, including management dashboards, internal summaries for leadership, and monthly close reporting. Run commission, referral, and partnership reports to support payroll and payout accuracy.
- Accounts Payable & Expense Management: Record and categorize vendor and expense transactions accurately. Verify vendor statements, resolve payment discrepancies, and maintain organized records in compliance with FPW policies.
- Accounts Receivable Support: Ensure client deposits and incoming payments are properly documented and applied to the correct accounts. Monitor accounts receivable aging reports and assist with follow-up efforts on outstanding balances as needed.
- Audit & Compliance: Maintain organized, complete, and compliant accounting records. Support audit preparation, budget tracking, and process documentation to improve financial efficiency.
- Collaboration: Partner with the VP of Finance & Administration and other accounting/admin team members to ensure consistent processes, reliable data, and efficient cross-departmental communication.
Qualifications & Requirements
- Bachelor’s degree in Accounting, Finance, or related field required.
- Minimum of two (2) years of professional accounting experience; experience in marketing, creative services, or professional services preferred.
- Proficiency in QuickBooks Online required.
- Strong knowledge of GAAP and general accounting principles.
- Skilled in Microsoft Excel; experience with Google Workspace (Sheets, Docs, Drive) strongly preferred.
- Experience with Mac OS and cloud-based accounting environments.
- Excellent organizational, analytical, and communication skills with a high attention to detail and commitment to accuracy.
- Ability to handle confidential financial information with discretion and professionalism.
- Onsite presence required; this is not a remote position.
