About the Role:

We are seeking a confident, organised, and proactive Administrative Assistant / Office Manager to join our growing team. This part-time position is ideal for someone who loves connecting with people, thrives in a fast-paced environment, and enjoys creating a welcoming experience for patients.

You will be the heart of our front office — supporting daily operations, coordinating patient care, and ensuring everything runs smoothly. While no sales are required for this position, a background in health, wellness, or customer service is highly valued and can provide room for advancement within our practice.

Key Responsibilities:

  • Answer phones, schedule, and confirm patient appointments
  • Greet patients with warmth and professionalism, ensuring each person feels cared for and valued
  • Manage patient check-in/check-out, collect payments, and handle basic administrative tasks
  • Assist with patient follow-up calls, reminders, and communication
  • Maintain organised records, office supplies, and a clean, welcoming environment
  • Support the doctor with office operations as needed
  • Help set the tone and pace for an efficient, energetic, and positive office atmosphere

Requirements:

  • Previous administrative, front desk, or customer service experience (healthcare, wellness, or fitness environment preferred)
  • Strong communication and interpersonal skills
  • Ability to multitask and manage time effectively
  • Computer and phone proficiency (scheduling software and payment processing experience are a plus)
  • A positive attitude, dependable work ethic, and enthusiasm for health and wellness
  • Professionalism in conduct as well as in communication with patients

Pay: $18.00 - $35.00 per hour
