Overview
The Client Experience Coordinator creates an exceptional first impression and maintains a warm, professional, and efficient client experience at FourThought’s main office. This position serves as the face of the firm—managing reception, greeting clients and guests, coordinating hospitality, and ensuring that the office environment reflects FourThought’s high standards of service and professionalism.
The Client Experience Coordinator also supports the Client Service and Planning teams with administrative coordination and meeting logistics, ensuring seamless execution of all client interactions.
Essential Functions
Client Experience & Reception
- Welcome clients, prospects, and guests warmly, ensuring a comfortable and professional experience.
- Manage incoming calls, emails, and inquiries, directing them appropriately and following through on resolution.
- Maintain the front desk, lobby, and conference rooms to align with FourThought’s brand and hospitality standards.
- Coordinate beverages, materials, and meeting setup for client appointments.
Scheduling & Coordination
- Assist with scheduling client meetings and internal events as needed.
- Manage conference room calendars and meeting logistics to ensure readiness and efficiency.
- Coordinate mail, deliveries, and client document drop-offs/pickups.
Administrative Support
- Support Client Service Managers and planners with administrative follow-up, including document preparation and filing.
- Maintain client gifts, marketing materials, and office supplies to ensure availability and presentation quality.
- Assist with internal team events and client appreciation efforts.
- Oversee general facilities management, including coordinating building maintenance and managing relationships with service vendors.
Brand & Environment
- Partner with Marketing to ensure front-office materials, displays, and communications reflect FourThought’s brand image.
- Assist with client event setup and execution, providing a polished and professional presence.
- Support the office culture by maintaining an inviting and organized workspace for clients and team members alike.

Qualifications for this Position
- 2 years of administrative, hospitality, or client-facing experience (preferably in a professional services firm).
- Excellent verbal and written communication skills.
- Friendly, professional demeanor and strong client service orientation.
- Strong organizational and time management skills with attention to detail.
- Proficiency in Microsoft Office and comfort with CRM and scheduling tools.

Pay: $25.00 - $30.00 per hour
