We are seeking an experienced Construction Administrator for an aviation project in our Dallas office.
As Construction Administrator, you will process documentation related to the bid and construction phases of projects and contracts/fee proposals for professional services as part of our Dallas team.
Responsibilities
- Ability to communicate in both oral and written manner with clients and all levels of staff using engineering, architectural and construction terminology.
- Ensure prime and subcontract agreements for professional services are executed and approved consistent with Airport policy
- Track contracts for professional services through the approval and execution process
- Tracks all permits and monitors through the entire permitting process including expediting the review process by following-up with code and stakeholder reviewers to ensure that permits are not delayed.
- Type specifications and prepare bid documents per Airport procedures
- Set up new construction projects into the document tracking system
- Receive and log construction contract related documents into the document tracking system
- Maintain pending documents in a neat, orderly manner that facilitates retrieval for final marking after review
- Prepare periodic reports indicating the status of contract documents
- Maintain a database of prospective bidders for construction of contracts
- Estimate cost of bid documents
- Manage the printing of bid documents
- Distribute bid documents including addenda and confirm receipt as appropriate
- Receive payment for documents and properly record disposition of funds received
- Maintain and periodically distribute list of plan holders for each project
- Send payments and a copy of records to accounting each week
- Prepare bid tabulations. Maintain records of bid tabulations used in preparing cost estimates.
- Conform bid documents for execution and manage printing of conformed documents
- Serve as a point of contact for communications with Construction Services personnel
- Assist supervisor in administrative functions. Prepare correspondence and perform other typing as required.
- Prepare and document change orders
- Provide guidance to Project Manager on change orders
- Completion of high school curriculum or equivalent.
- 2-5 years of administrative construction.
- Knowledge of construction terminology and construction permit process.
- Basic knowledge of document formatting used in the construction industry.
- Possession of a valid Class C driver's license.
- The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is regularly exposed to moving machinery & mechanical parts, uneven ground, exposure to dust, gas or fumes, exposure to loud noise, and outside weather conditions.
- The physical requirements must be met by an employee to successfully perform the essential functions of this job. Intermittent unassisted sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, stooping, crawling, pushing and lifting is required. Must be able to walk and/or stand for prolonged periods of time for at least eight hours per day. The employee must frequently lift and/or move light equipment up to 50 pounds without assistance. Must be alert to equipment in the field, occasional need to work near hazardous equipment and machinery, ability to walk on uneven ground while physically maneuvering construction sites, ability to work in extreme temperatures or humidity, and potentially work at heights.
- Possession of a valid state of residence driver's license with a clean driving record.
- Daily travel to and from construction sites, generally within 100 miles from the home office is expected. Short term, out of town, assignments may be required. Long term, out of town, assignments may be required, with advance notice of planned dates.
- May be required to work protracted and irregular hours to meet client's needs, including nights, overtime and weekends.
