The HRIS & Benefits Administrator, with a strong HR Generalist foundation, is responsible for the administration, optimization, and accuracy of the organization’s Human Resources Information System (HRIS) and employee benefits programs. This role partners with HR, Payroll, Finance, IT, and external vendors to ensure data integrity, legal compliance, and a positive employee experience. The ideal candidate has 3–5 years of progressive experience in HRIS and benefits administration, with demonstrated working knowledge of California labor and employment laws. This position is 65% HRIS and Benefits Administration and 35% HR Generalist support
ESSENTIAL DUTIES:
HRIS Administrator
- Manage all of the data input and integrity of the Paylocity HRIS system.
- Act as the point of contact for HRIS maintenance and problem solving.
- Compile human resources statistics and reports for various department staff, including bi-weekly payroll changes, department and employee rosters.
- Respond to requests for customized reports and manage accurate and thorough creation of reports.
- Manage collection and preparation of documents for multiple annual audits.
- Process all payroll change notices.
- Serves as backup to Payroll.
Benefits Administration
- Partners with the HR team in the implementation of new benefit programs and the renewal of existing benefit programs.
- Creates and owns benefit administration processes.
- Assists in benefit administration including responding to employee questions, claims issues, new hire enrollment, status changes, terminations, COBRA notifications, leave administration and payments.Facilitates open enrollment.
- Responsible for monthly reconciliation of the benefit carrier invoices. Audits monthly benefit invoices and approves payment. Conducts regular audits to ensure accuracy in enrollments and terminations.
- Stays abreast of employment benefit trends and regulatory issues. Maintain knowledge of all applicable leave and accommodation laws including FMLA, ADA and state and local laws.
- Liaison with carrier contacts and broker.
- Maintains and updates benefit information on the HRIS system including the Onboarding Module and the benefit/deduction interfaces with the payroll system.
- Prepares and files annual reports and distributes required annual notices.
California Labor Law & Compliance
- Apply working knowledge of California labor and employment laws
- Support compliance related to wage and hour, paid sick leave, CFRA, FMLA, PDL, and benefits eligibility
- Assist with audits, reporting, and regulatory filings
Skills, Knowledge & Abilities
- HRIS platform expertise (Paylocity experience a Plus!)
- Strong benefits administration knowledge
- Solid understanding of California labor and employment law
- Strong analytical, communication, and organizational skills
- High level of confidentiality and attention to detail
Education and Experience
- Bachelor’s degree in Human Resources, Business Administration, Information Systems, or related field (or equivalent experience)
- 3–5 years of HRIS and benefits administration experience
- Hands-on experience applying California labor law in an HR environment
- Experience supporting Open Enrollment and benefits audits
Preferred Qualifications
- California PHR, SHRM-CP, or equivalent certification
- Experience supporting a California-based workforce
- HR Generalist experience
PHYSICAL REQUIREMENTS:
- Working Conditions: This is an in-office position. Some travel is required.
- Physical Activities: Occasional standing, stooping, reaching and lifting up to 25 pounds.
- Physical Demands: Prolonged periods of sitting at a desk, typing on a computer keyboard, and speaking on the telephone. Frequent repetitive motions.
California Pay Range Disclosure
Pursuant to California pay transparency requirements, the expected salary range for this position is $70-$90K annually. Actual compensation will be determined based on factors including, but not limited to, candidate experience, education, skills, internal equity, and geographic location. This position may also be eligible for bonus, incentive compensation, and a comprehensive benefits package in accordance with company policies.
