Job Description
Fort Wayne Contracting is seeking a dependable, detail-oriented Construction Office Administrator / Project Administrative Assistant to support our Controller, project managers, and field operations team.
This is a full-time, in-office position ideal for someone with prior administrative, accounting, bookkeeping, or construction office experience who is looking for a long-term opportunity with a stable, growing company.
The ideal candidate is organized, professional, comfortable working with numbers and documentation, and able to handle both routine administrative tasks and more detailed project-related responsibilities.
Responsibilities
- Maintain organized electronic and paper filing systems
- Process and enter vendor invoices and assist with accounts payable functions
- Assist with job cost tracking and project-related accounting entries
- Review, organize, and maintain construction project documentation
- Enter and reconcile field quantities, daily reports, and production documentation
- Assist with preparing and maintaining project billing support documentation
- Create, update, and manage job folders and project files
- Submit, track, and monitor Miss Dig (utility locate) tickets and expiration dates
- Perform detailed data entry with a high level of accuracy
- Proofread documents, spreadsheets, and correspondence for completeness and accuracy
- Support field supervisors, project managers, and office staff with administrative tasks
- Utilize Microsoft Office programs including Excel, Word, and Outlook on a daily basis
- Assist with QuickBooks data entry and general accounting support
- Communicate professionally with vendors, subcontractors, municipalities, and customers

Qualifications
- 2 years of administrative, office, bookkeeping, accounting, or construction office experience preferred
- Strong organizational skills and attention to detail
- Ability to prioritize tasks and manage multiple responsibilities
- Proficiency in Microsoft Office, particularly Excel and Word
- Experience with QuickBooks or similar accounting software preferred
- Construction industry experience is a plus
- Strong communication and problem-solving skills
- Ability to work independently and as part of a team
- Reliable, professional, and interested in long-term growth with the company

- Pay range: $23.00 – $26.00 per hour, based on experience
