Position Information
The purpose of this classification is to plan, coordinate and supervise programs and activities for the Senior Services Department and an assigned center. This position is focused upon creating a diverse and creative program plan for active adults, promoting it through newsletters, flyers, and eblasts, and overseeing all related communications.
The Activities and Programming Coordinator leads the development and delivery of engaging, inclusive programs that promote wellness, lifelong learning, and social connection for senior center participants. Working collaboratively with internal teams, this role supports community partnerships and center rentals. The position also provides staff supervision, budget oversight, performance evaluations, and employee coaching, while fostering a positive, collaborative work culture aligned with the center's mission and community engagement goals.
Essential Functions

Develops program goals, objectives and priorities, research effectiveness of programs, events or activities. Assess community needs /interests and recommends appropriate programs and activities, evaluates participation levels and overall success of their team's efforts and recommends addition, deletion or revision or programs as appropriate.
Coordinates activities of an assigned program/service designed to assist clients of Senior Services with various aspects of life assists the director with program planning, provides assistance and guidance to team members regarding policies and completion of assigned task; serves as a liaison between the director and team members for the purposes of relaying information and responding to problems or issues.
Plans programming to offer a varied schedule of activities including classes, programs, and events for senior adults and the community at large.
Creates and maintains a communications and marketing strategy to attract patrons and ensure that the center meets established participation goals.
Supervises, directs, and evaluates applicable staff of Senior Services; organizes, prioritizes and oversees work assignments and projects; monitors and inspects work; assists with complex/problems and situations, addressing staff concerns, problems and performance; completes employee performance appraisals. Works closely with the director regarding disciplinary matters involving staff.
Acts as timekeeper for assigned staff; prepares and reviews employee sign-in/out sheets; approves leave requests and manages time and resource allocations; reviews timesheets, makes applicable calculations, and forwards for payroll processing.
May accompany injured or ill clients to emergency room when needed.
Assists in planning and implementing recreational, therapeutic, and informational activities for seniors; prepares monthly calendar of activities; serves as escort on trips as needed.
Oversees building and grounds maintenance, repair, and set-ups for activities. Conducts safety inspections of facilities, vehicles and equipment; inspects building for preparation for rental or special planned programming, reports problem situations to appropriate personnel. Oversees the fire drills, tornado drills and other drills and/or tests required by funders or other regulatory agencies. Prepares the service kitchen to ensure readiness and compliance with regular department of health inspections.
Plans and coordinates arrangements for events; schedules activities to avoid conflicts; reserves facilities and equipment needed; determines minimum/maximum levels of participation; schedules personnel needed.
Oversees front desk customer service. Establishes, conducts, and supervises program registration procedures, including database management and cash handling.
Ensures compliance with all applicable codes, laws, rules, regulations, standards, policies, and procedures; ensures adherence to established safety procedures, monitors work environment and use of safety equipment to ensure safety of employees, program participants, and other individuals; initiates any actions necessary to correct deviations or violations.
Develops and implements center and marketing/communications budget; monitors expenditures to ensure compliance with approved budget.
Promotes programs within the community; provides information for the communications department and communicates events to the public.
Communicates with supervisor, employees, students, volunteers, other departments, clients, the public, resource persons, community agencies, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
Counts payments/donations received by Senior Services; prepares bank deposits and forwards as appropriate.
Prepares or completes various forms, work orders, reports, correspondence, logs, client files, referral forms, emergency data cards, service provider forms, calendars, employee sign-in sheets, order forms, maintenance request forms, check requests, or other documents.
Receives various forms, reports, correspondence, payments/donations, maps, medical resources, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.
Operates a computer to enter, retrieve, review, or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, database, or other computer programs.
Monitor's inventory of office equipment, forms, and supplies; ensures availability of adequate materials to conduct work activities; initiates orders for new/replacement materials.
Attends meetings and makes presentations as needed.
Maintains a comprehensive, current knowledge of applicable laws/regulations; maintains an awareness of new trends and advances in the profession; reads professional literature; maintains professional affiliations; attends workshops and training sessions as appropriate.
ADDITIONAL FUNCTIONS
Operates a passenger vehicle to transport clients or other individuals as needed.
This classification is designated as a safety sensitive position which is subject to random drug and alcohol testing and any other drug testing methods as stated in policies adopted by Forsyth County concerning drug and alcohol.
Performs general/clerical tasks, which may include answering telephone calls, receiving referrals for services, making copies, sending/receiving faxes, filing documentation, or conducting visitor tours of senior facilities.
Assists with Senior Services programs, activities, and special projects as needed.
Provides assistance to other employees or departments as needed.
Performs other related duties as required.
Minimum Qualifications
Bachelor's degree in sociology, psychology, gerontology, social services, recreation, public administration, nonprofit management, or a related field from an accredited college or university;; supplemented by college level course work or vocational training in human psychology; supplemented by three (3) years previous experience and/or training involving senior program administration, gerontology, psychology, social services, office administration, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess or obtain valid CPR and First Aid certification within three (3) months of employment. Must possess and maintain a valid Georgia driver's license. Assignment to the Senior Services grant programs of Meals on Wheels, Congregate, and Respite requires passing a federal fingerprint background check.
