Office Services Associate – Print
Location: Chicago, IL
Position Overview:
As an Office Services Associate – Print, you will be responsible for managing all aspects of print production, reprographics services, and document management for a leading law firm. Your skills in operating high-volume printing equipment, coordinating workflows, and maintaining quality standards will be critical to supporting the firm’s daily operations. This role requires strong attention to detail, customer service excellence, and the ability to thrive in a fast-paced, professional environment. You will report directly to the Lead Office Services Print Associate or the Client Relations Manager.
Key Responsibilities:
Print Production & Management (25%)
- Operate and maintain high-volume digital printers, copiers, and wide-format machines.
- Review, prioritize, and complete print requests based on deadlines and service standards.
- Monitor and calibrate equipment to ensure consistent color and print quality.
Reprographics Services (10%)
- Handle copying, scanning, binding, and finishing services.
- Manage reprographics queues and maintain efficient service delivery.
Quality Control & Proofing (15%)
- Conduct quality assurance checks to ensure documents meet specifications and brand standards.
- Address and resolve print issues (e.g., misprints, equipment errors) in a timely manner.
Customer Service & Communication (5%)
- Provide professional, courteous service to clients and internal teams.
- Communicate job status updates and collaborate effectively with other departments.
Inventory & Supplies Management (10%)
- Maintain adequate inventory of paper, toner, and printing supplies.
- Coordinate orders and vendor relationships to ensure minimal downtime.
Record Keeping & Reporting (10%)
- Track all print and reprographics jobs and generate periodic reports on volumes and resource usage.
Training (5%)
- Participate in ongoing training, including internal platforms like Cornerstone, to stay current with best practices.
Qualifications:
- High school diploma or equivalent required; college degree preferred.
- 2–3 years of experience supporting legal services or a professional office environment.
- Strong understanding of legal document standards and terminology.
- Proficiency in Microsoft Office and printing/production software.
- Excellent attention to detail, multitasking, and organizational skills.
- Ability to maintain confidentiality and work under pressure to meet deadlines.
