Forrest Solutions is seeking a Corporate Administrative Assistant /Receptionist to work onsite with a Global Accounting firm.


The Administrative Assistant /Receptionist is a part-time position, and will provide high end office support, reception, sets up rooms and event space, supports meeting hosts, coordinate with other departments, restocking office supplies, coordinate and communicate with all levels of staff, and ad hoc duties.

You will handle responsibilities efficiently and support office operations in alignment with the firm’s values.

Location: Austin, TX

Shift: Part Time, (30 hours per week), Mon.- Fri., 8am-2:30pm

Pay: $23 to$25 per hour, based on experience


Essential Job Functions:

o Professionally answer, screen, and route all incoming calls

o Greet guests in a professional, friendly, hospitable manner

o Maintain calendar schedule of guest visitor offices/desks and conference rooms

o Prepare conference rooms prior to guests’ arrival

o Assist with coordination/setup of catering for meetings

o Courier Services, distribute packages and mail as delivered for the day

o Assist with organizing/tracking accounts payable invoices and submit for approval

o Assist in event/meeting planning

o Support with onboarding

o Serve as point of contact for facilities vendors

o Maintain physical appearance of office and ensure all facilities are in working

order

o Well-developed interpersonal and relationship-building skills. Clear and concise

communication skills, both written and oral with the ability to communicate

effectively at all levels

o General upkeep of the office

o Liaison with Building Management on utilities, services, maintenance requests, etc.

o Manage seating/floorplan through online workplace planning tool (WISP and

OfficeSpace)

o Run reports as needed

o Order all necessary supplies for the office: kitchen, bathroom, and other stock

(monitor and order as needed)

o Handle all vendor deliveries – unpack as needed

o Business Mail, Shipping & Courier Service Needs: Ship out business/office-related

items via UPS, FedEx, USPS; Distribute packages and mail as delivered for the

office daily; arrange courier services as needed


What We’re Looking For:

  • Minimum of 2 years’ experience as an Administrative Assistant, Receptionist, Office Manager working in a corporate environment.
  • No job hoppers.
  • Proficient with MS Word, Excel, Outlook, PowerPoint.
  • Experience with software: Office Space, Slack, Castle or similar
  • A friendly, professional, and approachable personality.
  • Ability to multitask, manage stress, and prioritize effectively.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Commitment to creating a welcoming and collaborative environment that reflects the firm’s values.

The compensation outlined reflects expectations for candidates who fully meet the role’s qualifications in terms of education and experience.
