Job Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant/Book keeper and Administrative Coordinator to support office senior team.
As an Administrative Assistant, the ideal candidate will possess exceptional organizational skills, strong interpersonal abilities, and a keen sense of confidentiality. This role is crucial for ensuring the smooth operation of our executive functions and will provide comprehensive support to our senior leadership. You will manage schedules, handle communications, organize files, coordinate with various departments, and assist with special projects to enhance the efficiency and effectiveness of our team.
Responsibilities:
- Provide high-level administrative support to senior team, and executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and maintain files and records, both electronic and physical.
- Handle incoming and outgoing communications, including phone calls, emails, and other correspondence.
- Coordinate and manage special projects and events as assigned.
- Serve as a liaison between the executive team and internal/external stakeholders.
- Assist with the preparation of reports, meeting agendas, and minutes.
- Conduct research and compile data as needed.
- Ensure confidentiality and discretion in all interactions and communications.

Experience:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Proven experience as an executive assistant or in a similar administrative role for C-level.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant project management and task driven software.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- High level of discretion and confidentiality.
- Strong interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
- Detail-oriented with a proactive approach to problem-solving.
- Experience in event planning and coordination is a plus.
- Excellent project coordination abilities with attention to detail.
