Position Overview
Revitalize Counseling Center is a growing practice in Spring Hill, FL dedicated to providing
high-quality, compassionate mental health care. We are seeking a warm, organized, and
detail-oriented Front Desk Receptionist to join our team. This is an in-person position and a
key role in ensuring a welcoming environment for clients while supporting the daily operations of
our counseling center.
Key Responsibilities
Client Reception & Support
- Greet clients warmly and maintain a calming, professional atmosphere in the waiting area.
- Check in clients, verify demographics, and ensure intake forms are complete.
- Handle incoming calls, emails, and inquiries with sensitivity and confidentiality.
Scheduling & Coordination
- Schedule, confirm, and adjust client appointments for multiple clinicians.
- Manage cancellations, waitlists, and new client intake scheduling.
- Maintain clinician calendars and communicate changes promptly.
Billing & Administrative Tasks
- Collect co-pays, issue receipts, and record payments accurately.
- Assist with insurance verification or basic billing questions (if applicable).
- Maintain and organize client records in compliance with HIPAA regulations.
- Order and track office supplies.
Practice Support
- Provide administrative assistance for clinicians as needed (printing, scanning, faxing).
- Ensure front desk and waiting areas are tidy and stocked.
- Support special projects and office initiatives to improve client experience.
Qualifications
- Previous experience as a receptionist, administrative assistant, or customer service representative (healthcare or mental health setting preferred).
- Excellent interpersonal and communication skills; ability to maintain confidentiality and follow HIPAA and other healthcare regulations
- Strong organizational skills and attention to detail.
- Proficiency with scheduling software and Microsoft Office/Google Workspace.
- Ability to multitask in a fast-paced environment and remain calm under pressure.
