Administrative Receptionist

Position Summary
Forest Oaks Country Club is seeking a bright, friendly, organized, and detail-oriented Administrative Receptionist to serve as the first point of contact for members, guests, and visitors. This position plays a vital role in creating a welcoming atmosphere while providing administrative support to ensure the daily operations of the club run efficiently.
The ideal candidate is professional, customer-focused, and able to manage multiple priorities in a fast-paced environment while maintaining confidentiality and accuracy.
Essential Duties & Responsibilities:
Reception & Member Services
- Greet members, guests, vendors, and visitors with a warm and professional demeanor.
- Answer and direct incoming telephone calls.
- Assist members and guests with general questions and direct them to the appropriate department.
- Receive and distribute mail and deliveries.
- Maintain a clean, organized, and welcoming reception area.
Administrative Support
- Enter and maintain accurate member and club information in club management software.
- Prepare, organize, and file documents electronically and in paper format.
- Run daily, weekly, and monthly reports as requested by management.
- Assist with data entry and record keeping.
- Experience working with Quickbooks.
- Prepare correspondence, forms, and club communications.
Support management with special projects and administrative tasks. Communications & Marketing Support
- Assist in creating and formatting the club's weekly or monthly member newsletter.
- Update bulletin boards, flyers, and member communication materials.
- Help prepare promotional materials for club events and activities.
- Proofread communications for accuracy and professionalism.
Office Operations
- Monitor office supply inventory and place orders as needed.
- Maintain office equipment and coordinate service calls when necessary.
- Organize storage areas and office files.
- Assist with scheduling appointments and meeting space when needed.
Event & Club Support
- Assist with event registration and member sign-ups.
- Prepare packets, name tags, and materials for club events and meetings.
- Provide administrative assistance for tournaments, member events, and special club functions.
- Perform other duties as assigned to support club operations.
Qualifications
- High school diploma or equivalent required.
- Associate degree or administrative experience preferred.
- Minimum of 2 years of receptionist, administrative assistant, or customer service experience preferred.
- Experience in hospitality, country club, hotel, or office administration is a plus.

- Basic knowledge of office equipment including copiers, scanners, and multi-line phone systems.
Physical Requirements
- Ability to sit or stand for extended periods.
- Ability to occasionally lift up to 25 pounds.
- Frequent use of computers, telephones, and other office equipment.
Work Environment
This position is primarily located in the club's administrative office and requires regular interaction with members, guests, and fellow team members. A polished, professional appearance and a positive, service-oriented attitude are expected at all times.
