Job Summary
Forest Glen Oaks is an organic dairy located near Dayton, Oregon. We are seeking a highly organized and detail-oriented Office Specialist to support payroll, human resources, compliance, safety, accounting, and operational recordkeeping. This position plays a key role in maintaining accurate records, ensuring regulatory compliance, and supporting day-to-day office operations. The ideal candidate is dependable, detail-focused, and comfortable managing multiple priorities while handling confidential information.
Key Responsibilities
- Process monthly payroll, including time tracking, bonuses, taxes, garnishments, and compliance with Oregon labor regulations
- Maintain accurate payroll records, submit required reports, and manage positive pay and benefit-related deductions
- Manage workers’ compensation, safety, and OSHA compliance, including reporting, training coordination, and recordkeeping
- Handle human resources administration, including onboarding, I-9 compliance, personnel files, handbook updates, and leave tracking (FMLA, OFLA, Paid Leave Oregon)
- Maintain vehicle, equipment, and USDOT compliance records, registrations, and required reporting
- Support accounting functions, including accounts payable and receivable, vendor documentation, rent payments, and financial recordkeeping
- Assist with daily recordkeeping related to organic certification and inspections
- Track operational data such as feed, crop, manure, milk, and sales records
- Perform general administrative duties including file management, meeting notes, supply ordering, light cleaning, and other support as needed
Qualifications
- Experience in payroll, HR administration, or accounting preferred
- Working knowledge of Oregon labor laws and payroll regulations
- Strong attention to detail and ability to maintain confidentiality
- Proficiency with payroll systems, QuickBooks, and Microsoft Excel
- Excellent organizational and time-management skills
- Ability to work independently and manage multiple responsibilities
