Overview
We are seeking a detail-oriented and professional Front Office Medical Specialist to join our healthcare team. The ideal candidate will provide exceptional client service, manage front office tasks efficiently, and support clinical operations through accurate documentation and effective communication. This role is vital in ensuring smooth clinic operations and maintaining compliance with healthcare regulations and the Oregon Health Authority. Candidates with clinic experience, medical office management skills, and proficiency in EMR systems are highly preferred. Bilingual abilities and experience in a mental health office are considered advantageous.
Responsibilities
- Greet patients warmly and manage patient check-in and check-out processes using EMR systems such as Office Ally
- Verify insurance coverage and perform insurance verification procedures
- Schedule appointments accurately utilizing medical scheduling software and multi-line phone systems
- Collect patient payments and post to platform for easy flow of billing operations.
- Maintain accurate medical records, ensure proper documentation review, and update patient information in compliance with HIPAA regulations
- Assist with intake procedures, including collecting patient information, and along with all pertinent information for smooth claim processing.
- Manage phone etiquette to handle patient inquiries professionally and efficiently
- Support administrative tasks such as filing, faxing, data entry (10-key typing), and managing health information management systems.
- Ensure compliance with HIPAA standards and maintain confidentiality of patient information
- Collaborate with clinical staff to facilitate care plans and documentation review for accuracy
Requirements
- Proven experience in a medical office setting or healthcare environment; clinic or mental health office experience is highly desirable
- Proficiency with EMR/EHR systems, including Office Ally
- Knowledge of medical terminology, ICD coding, CPT coding, and medical billing procedures
- Familiarity with insurance verification processes and Medicare guidelines
- Excellent computer skills, including Microsoft Office Suite (Word, Excel) and health information management software
- Exceptional customer service skills with professional phone etiquette and clerical support capabilities
- Ability to handle sensitive information in accordance with HIPAA regulations
- Bilingual abilities are a plus to serve diverse patient populations effectively
- Strong organizational skills with attention to detail for documentation review and data accuracy
- Prior front desk or administrative support experience in a healthcare setting is preferred
- De-escalating skills are a requirement for this position
- Self-starter and are very reliable for the shift scheduled
