POSITION SUMMARY
Reporting to the Project Manager, the Project Coordinator provides administrative, technical, and field coordination support to ensure the successful execution of construction projects. Working closely with Project Managers, Superintendents, Foremen, field crews, clients, and internal departments, this role assists with project documentation, scheduling, procurement, cost tracking, quality, and safety coordination throughout the project lifecycle.
The Project Coordinator plays a key role in supporting day-to-day project activities by maintaining accurate records, coordinating information flow between the field and office, and helping ensure projects are completed safely, efficiently, on schedule, and in accordance with project requirements.
CORE RESPONSIBILITIES
Project Coordination & Execution Support
- Coordinate and maintain project documentation, including RFIs, submittals, change requests, meeting minutes, and project correspondence.
- Maintain project tracking logs and ensure documentation is current, complete, and properly filed.
- Support Project Managers and field teams by coordinating project information and facilitating communication between stakeholders.
- Assist with project planning, scheduling, and coordination of day-to-day project activities.
- Participate in project meetings and document action items and follow-up activities.
Quality & Document Control
- Assist with the preparation and maintenance of quality documentation, inspection records, and turnover packages.
- Ensure project documentation aligns with contract requirements, drawings, specifications, and company procedures.
- Track outstanding documentation and support timely resolution of project deliverables.
- Maintain organized project files and document control systems.
Cost, Schedule & Procurement Support
- Assist with tracking project progress, installed quantities, labour hours, and material usage.
- Coordinate material deliveries and communicate with vendors and suppliers regarding project requirements.
- Support procurement activities, purchase orders, and material tracking.
- Assist with project reporting, cost tracking, and change management documentation.
Safety & Compliance
- Support project teams in maintaining required safety documentation, including orientations, inspections, permits, and hazard assessments.
- Promote compliance with company, client, and regulatory health and safety requirements.
- Participate in project safety meetings and continuous improvement initiatives.
Collaboration & Communication
- Build positive working relationships with project teams, clients, subcontractors, suppliers, and internal departments.
- Support field operations by providing timely administrative and coordination assistance.
- Communicate project updates, documentation requirements, and outstanding items to project stakeholders.
- Contribute to a collaborative team environment and support continuous improvement initiatives.
ESSENTIAL REQUIREMENTSEDUCATION & EXPERIENCE
- Diploma or degree in Construction Management, Engineering Technology, Business, or a related field is preferred.
- 2–5 years of project coordination or construction administration experience within construction, utilities, industrial, or related industries.
- Experience supporting construction projects from planning through completion is considered an asset.
SKILLS & ABILITIES
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite, particularly Excel.
- Experience with project management and document control software such as Procore, Viewpoint, SharePoint, SAP, or similar platforms is considered an asset.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and collaboratively within a team environment.
- Ability to build effective working relationships with field and office personnel.
- Valid driver's licence with the ability to travel to project sites as required.

This position may require candidates to:
- Travel to active project sites as required.
- Successfully complete pre-employment drug and alcohol testing as required by project or client requirements.
- Successfully complete a background check and/or criminal record check as required by project, client, or regulatory requirements.
- Complete required safety training and certifications based on project requirements.
Pay: From $60,000.00 per year
