Job Title: Associate Director, Outpatient Services

FLSA: Exempt

Reports To: Director of Outpatient Services

Department: Community Wellness- Outpatient Services

Summary:

The Associate Director of Outpatient Services provides administrative and operational leadership for Laurel Life's Outpatient Clinics, with a primary focus on psychiatry service delivery, prescriber management and front-end clinic operations. This role works in close partnership with the Director of Outpatient Services to ensure efficient, compliant and high-quality outpatient care. The Associate Director oversees prescribers and patient access workflows, including authorization processes, billing coordination and collection procedures. This position is responsible for the consistent implementation, communication and enforcement of outpatient clinic procedures across all locations.

The Associate Director should display excellent interpersonal and organizational skills; an understanding of Folium operations and community systems; and initiative in developing and promoting quality services.

In addition to the details and requirements for the employee listed below, Laurel Life expects the employee be committed to incorporating principles of trauma informed care in all areas of service delivery. Commitment to these principles in trauma treatment will be required through attendance in trainings and use of identified evidence-based practices. Trauma informed care includes cultural sensitivity and emphasizes a safe and respectful environment for all clients and staff.

Duties and Responsibilities:

The Associate Director is responsible for the following duties within his/her assigned operating division:

· Psychiatry Services and Prescriber Management

o Provide administrative oversight of all outpatient prescribers (psychiatrists, CRNPS, PAs).

o Support prescriber onboarding, scheduling, productivity and adherence to clinic procedures.

o Serve as a primary point of coordination between prescribers, clinical supervisors, patient care staff and leadership.

o Address operational barriers impacting psychiatric service delivery and access to care.

o Collaborate with the Director on workforce planning and service expansion needs.

· Front End Clinic Operations

o Oversee all front-end clinic procedures, including:

§ Authorization and reauthorization processes

§ Insurance verification and coordination with billing teams

§ Copay collection and patient financial communication

o Ensure consistent and compliant implementation of payer requirements and internal procedures.

o Monitor performance metrics related to access, authorizations, denials, and billing efficiency.

o Partner with billing and finance staff to address issues related to reimbursement, documentation, or workflow challenges.

· Patient Care Coordination

o Oversee the Patient Care Coordinator Supervisor, ensuring effective supervision of Patient Care Coordination staff.

o Ensure efficient patient flow, scheduling practices, and communication between clinic staff and patients.

o Support timely intake, referral management, and service linkage across outpatient sites.

· Procedures, Compliance and Standardization

o Develop, implement, communicate, and enforce psychiatric clinic operational procedures in collaboration with the Director.

o Ensure clinic practices align with regulatory requirements, payer standards, and organizational policies.

o Support audit readiness by ensuring operational processes and documentation standards are consistently followed.

o Monitor adherence to established workflows and address performance or compliance concerns promptly.

· Collaboration and Leadership

o Collaborate closely with the Director of Outpatient Services to align administrative operations with clinical standards and organizational goals.

o Serve as a liaison between outpatient psychiatric clinics, billing, compliance, HR, and other internal departments.

o Promote a trauma-informed, client-centered, and professional clinic environment.

o Participate in leadership meetings, planning initiatives, and quality improvement activities

· Maintain an active valid driver's license issued by state in which they reside and must immediately notify their supervisor or Human Resources if their license is suspended or revoked for any reason.

· May perform other duties, activities, or special projects as requested by the Director of Outpatient, operating division Vice President, CFO or CEO.

Work Agreement Requirements

· A full day for a salaried position is a minimum of 7.5 hours per day. Start and end times for the employee may vary.

· Employees are expected to comply with all conditions and requirements of the Employee Handbook and any amendments thereto shall remain in effect.

Educational Qualifications:

· Graduate degree from a college or university that is accredited by an agency recognized by the United States Department of Education or the Council for Higher Education Accreditation (CHEA) in a generally recognized clinical discipline in which the degree program includes a clinical practicum.

Work Experience:

· Minimum of three (3) years of experience in outpatient or psychiatric services administration.

· Demonstrated experience managing prescribers, clinic operations or healthcare service delivery.

· Strong knowledge of insurance authorization processes, billing workflows, outpatient psychiatric regulations

· Supervisory experience preferred.

Skills:

To perform the essential functions of this position, an individual should demonstrate an understanding of healthcare operations and service delivery management. Possess skills aimed at prescriber and interdisciplinary team coordination. Have authorization, billing revenue cycle workflow oversight. Bring forth the ability to manage complex workflows across multiple clinic locations for policy and procedure development and enforcement. Possess excellent interpersonal and communication skills. Model ethical standards and conduct as well as quality care; Demonstrates competency in general clinical skills including the understanding of concepts, theory, and empirical foundations for practice; Ability to form positive team relationships and promote a positive work environment; Strategic thinking to analyze issues and trends, and how these link to the responsibilities, capabilities, and potential of the organization. Uses judgment to make sound decisions and consider how a problem and its solution will affect other business units of Folium.

Working Conditions:

· Work setting is an outpatient clinic building or satellite location.

· Occasional travel required

· Hybrid schedule may be approved based on organizational needs.

· Clientele may at times be verbally or physically abusive or involving interactions with individuals experiencing behavioral health crises.
