What are the responsibilities and job description for the Front Desk position at Folio Association Management?
The Front Desk serves as the first point of contact for residents, guests, vendors, Board members, and business partners. This position is responsible for delivering exceptional customer service while supporting the day-to-day administrative and operational needs of the community. The individual in this role creates a welcoming environment, maintains accurate records, promotes a safe and professional atmosphere, and represents Folio Association Management's Standards of Excellence in every interaction.
- Serve as the first point of contact for residents, guests, vendors, Board members, and business partners.
- Welcome visitors in a courteous, professional, and service-oriented manner.
- Answer, screen, and direct incoming telephone calls promptly and professionally.
- Respond to resident inquiries and direct requests to the appropriate department.
- Maintain accurate resident records and update information within company systems.
- Manage visitor registration and building access in accordance with community procedures.
- Receive, log, and distribute packages, deliveries, and mail, as applicable.
- Monitor lobby activity and report maintenance concerns, safety hazards, emergencies, or policy violations to management.
- Complete daily activity logs, incident reports, and other required documentation accurately and timely.
- Coordinate with management, engineering, security, vendors, and emergency responders as needed.
- Assist with move-ins, move-outs, amenity reservations, and community events, when applicable.
- Maintain a clean, organized, and professional reception area at all times.
- Protect the confidentiality of resident, owner, and Association information.
- Utilize Microsoft Office, property management software, and other company systems effectively.
- Perform other duties as assigned in support of the community's daily operations.

The employee is occasionally required to stand frequently, sit, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 30 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures. Ability to detect auditory and/or visual emergency alarms. Noise level in the work environment is usually low to moderate.
- High school diploma or equivalent required.
- One (1) year of customer service, hospitality, concierge, front desk, or administrative experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational, customer service, and multitasking abilities.
- Proficiency with Microsoft Office; experience with property management software is a plus.
- Bilingual English/Spanish preferred for South Florida communities.
