Job Summary
We are seeking a proactive, compassionate, and highly adaptable Intake Specialist to support individuals seeking behavioral health services. This is a community-based position with remote responsibilities that requires traveling throughout the community to locate and meet clients wherever appropriate, including client homes and other community settings.
The Intake Specialist serves as an important first point of contact, helping individuals complete the intake process while ensuring information is accurate, complete, confidential, and handled professionally. The ideal candidate is comfortable working independently, engaging diverse populations, navigating changing environments, and meeting clients where they are.
Responsibilities
- Conduct complete and accurate client intakes in homes and other appropriate community settings.
- Contact and locate prospective clients and coordinate convenient intake appointments.
- Collect, verify, and update demographic, contact, insurance, medical, and other required information.
- Verify insurance coverage and identify discrepancies requiring correction or follow-up.
- Ensure all intake documents, consents, authorizations, and required signatures are completed in their entirety.
- Maintain accurate and confidential client records in accordance with HIPAA and organizational requirements.
- Communicate professionally and compassionately with individuals from diverse backgrounds and circumstances.
- Document updated phone numbers, addresses, living arrangements, and other information necessary to maintain contact with clients.
- Coordinate with clinical and administrative staff to facilitate timely access to services.
- Complete administrative tasks including data entry, document processing, email, and follow-up communication.
- Maintain appropriate professional boundaries, confidentiality, and personal safety while working independently in the community.
- Identify and appropriately refer potential clients who may benefit from available services.
Qualifications
- Previous healthcare, behavioral health, intake, case management, community outreach, or medical-office experience preferred.
- Experience with EHR/EMR systems and electronic documentation preferred.
- Understanding of health insurance and eligibility verification is strongly preferred.
- Knowledge of HIPAA, confidentiality, and client privacy requirements.
- Strong attention to detail and ability to complete documentation accurately.
- Excellent communication, interpersonal, and customer-service skills.
- Comfortable working with diverse and potentially vulnerable populations.
- Ability to work independently and adapt to a variety of community environments.
- Proficiency with Microsoft Word, Excel, email, and basic technology.
- Reliable transportation and willingness to travel throughout the community are required.
