Job Description
The Billing Clerk is responsible for preparing, reviewing, and processing invoices for airline and non airline customers, ensuring accurate billing, timely payment collection, assisting with unit payroll, and compliance with company policies. This role works closely with Operations, Customer Service, Finance, and Sales teams to verify orders, resolve billing discrepancies, and maintain accurate financial records in a fast-paced food manufacturing environment.
Essential Functions
• Generate and process invoices for airline catering, retail, food service, and commercial customers.
• Verify customer orders, delivery records, production reports, and pricing agreements before billing.
• Ensure accurate billing for food products, transportation charges, special requests, and other services.
• Reconcile invoices against purchase orders, contracts, and delivery documentation. • Investigate and resolve billing discrepancies, customer inquiries, and payment issues.
• Maintain up-to-date customer billing records and account information.
• Process credit memos, adjustments, and account corrections as needed.
• Monitor outstanding invoices and assist with accounts receivable collections.
• Prepare billing reports and support month-end closing activities.
• Collaborate with Operations, Logistics, and Customer Service teams to ensure accurate order fulfillment and invoicing.
• Maintain compliance with company policies, food industry regulations, and financial procedures.
• Support audits by providing invoice documentation and financial records.
• Complete assigned tasks efficiently and perform other duties as assigned by management.
Skills & Qualifications
• High school diploma or equivalent required.
• Associate degree in Accounting, Finance, or Business Administration preferred.
• 1-2 years of billing, invoicing, accounts receivable, or accounting experience.
• Experience in food manufacturing, airline catering, logistics, or distribution environments preferred.
• Strong knowledge of billing procedures and accounting principles.
• Proficiency in Microsoft Excel, Word, and ERP/accounting systems.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to handle multiple tasks in a fast-paced environment.
• Effective verbal and written communication skills.
• Strong problem-solving and customer service abilities.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
Primarily works in an office setting within a food manufacturing facility. Regular interaction with Accounting, Customer Service, Sales, Warehouse, and Logistics personnel. Occasional exposure to manufacturing and warehouse environments, including varying temperatures, noise levels, and forklift traffic, while adhering to all safety requirements and personal protective equipment (PPE) guidelines.
Physical Demands
The physical requirements for this position include, but are not limited to:
• Prolonged periods of sitting and working at a computer workstation.
• Frequent use of hands and fingers for keyboarding, data entry, and operation of office equipment.
• Occasional standing, walking, bending, reaching, and stooping to retrieve files and documents.
• Ability to communicate effectively in person, by telephone, and via email.
• Visual ability to review computer screens, invoices, reports, and other detailed documents.
• May occasionally lift, carry, push, or pull office supplies and files weighing up to 20 pounds.
• Occasional movement throughout office, warehouse, and production areas to verify shipping, billing, or inventory documentation.
• Ability to work in a fast-paced manufacturing environment with frequent interruptions and changing priorities.

This is a full-time, non-exempt position. Standard hours and days of work may vary based on production schedules and operational needs, including flight schedules. Flexibility to work various shifts, including days, evenings, nights, weekends, holidays, and overtime based on operational needs.
