We are seeking an experienced and highly organized Director of Operations to oversee the company’s day-to-day operational functions and help support its continued growth. This position requires a hands-on leader who can improve processes, hold teams accountable, manage competing priorities, and ensure that property management operations are completed efficiently and consistently.
Position Overview
The Director of Operations will provide leadership and oversight across property management, facilities and maintenance, vendor management, budgeting, compliance, and administrative operations.
The successful candidate will work closely with executive leadership, property managers, maintenance personnel, accounting staff, vendors, and other business partners. This individual will be responsible for turning company goals into actionable operating plans, establishing clear performance expectations, and ensuring that departments work together effectively.
Key Responsibilities
Operational Leadership
- Oversee the daily operations of the company’s real estate management activities.
- Develop, implement, and maintain operational policies, procedures, workflows, and performance standards.
- Identify operational inefficiencies and implement practical solutions that improve productivity, communication, service, and profitability.
- Establish clear accountability for departmental responsibilities, deadlines, and results.
- Prepare regular operational reports and updates for executive leadership and owners.
Property Management Oversight
- Provide leadership and support to property management, leasing, maintenance, and administrative teams.
- Monitor property performance, occupancy, tenant and resident satisfaction, maintenance response times, delinquency, and operating expenses.
- Ensure property inspections, preventive maintenance, unit turns, capital improvements, and service requests are completed timely and to company standards.
- Support the resolution of escalated tenant, resident, owner, and vendor concerns.
- Promote consistent customer-service standards across the company’s portfolio.
- Assist with the onboarding and operational integration of newly acquired properties.
Financial and Performance Management
- Participate in the preparation and management of property and departmental operating budgets.
- Review financial and operational reports to identify variances, trends, risks, and opportunities for improvement.
- Monitor controllable expenses and implement cost-saving measures without compromising safety, quality, or service.
- Assist leadership with forecasting, capital planning, resource allocation, and long-term operational planning.
- Establish and monitor key performance indicators for property management, maintenance, leasing, and operational teams.
- Collaborate with accounting staff to support accurate reporting, purchasing controls, invoice approvals, and budget compliance.
Team Leadership
- Lead, coach, and develop property management, maintenance, administrative, and operational employees.
- Establish clear expectations and conduct regular performance and accountability meetings.
- Assist with workforce planning, hiring, onboarding, training, performance management, and succession planning.
- Promote a professional, respectful, collaborative, and results-oriented workplace.
- Work closely with Human Resources to ensure personnel matters are addressed consistently and in accordance with company policies.
- Encourage communication and cooperation between field employees, office staff, managers, and executive leadership.
Vendor and Contract Management
- Oversee vendor selection, performance, pricing, contract compliance, and service quality.
- Negotiate or assist with negotiating vendor agreements and service contracts.
- Maintain appropriate documentation for contracts, certificates of insurance, warranties, licenses, and vendor qualifications.
- Develop strong relationships with contractors, consultants, suppliers, municipalities, and other business partners.
- Ensure purchasing and vendor-management practices align with company policies and budget requirements.
Compliance and Risk Management
- Help ensure properties and operations comply with applicable company policies, leases, contracts, safety requirements, and governmental regulations.
- Coordinate with Human Resources, legal counsel, insurance representatives, and other professionals when appropriate.
- Promote workplace and property safety and ensure incidents are reported, documented, investigated, and addressed.
- Maintain accurate operational records and support internal reviews, insurance matters, audits, and due-diligence activities.
- Identify operational risks and recommend corrective or preventive action.
Qualifications
- Bachelor’s degree in business administration, real estate, operations, finance, or a related field preferred.
- At least seven years of progressively responsible experience in real estate operations, property management, facilities management, or a related industry.
- At least three years of experience leading managers or multidisciplinary teams.
- Strong understanding of property operations, maintenance, leasing, budgeting, vendor management, and customer service.
- Experience supporting capital-improvement projects preferred.
- Demonstrated ability to establish processes, manage priorities, solve problems, and hold employees accountable.
- Strong financial and analytical skills, including experience reviewing budgets, operating statements, forecasts, and performance reports.
- Excellent leadership, communication, negotiation, and conflict-resolution skills.
- Ability to exercise sound judgment and maintain confidentiality.
- Proficiency with Microsoft Office and experience with property-management, accounting, project-management, or enterprise software.
- Valid driver’s license and ability to travel between company properties as needed.
Preferred Qualifications
- Experience overseeing a portfolio of residential, commercial, or mixed-use properties.
- Familiarity with property-management platforms such as Sage, Entrata or similar systems.
- Experience implementing standard operating procedures and key performance indicators.
Work Environment and Physical Requirements
This position requires regular work in a professional office environment as well as visits to residential and commercial properties, and maintenance areas. The employee must be able to navigate active properties, occasionally climb stairs, and respond to operational issues outside normal business hours when necessary.

Pay: $98,663.33 - $118,820.35 per year
