The Order Management Associate is a member of the Order Management Team and is primarily
responsible for answering incoming phone calls and distributing them to the appropriate department.
PRIMARY JOB DUTIES:
- Answer incoming calls; greet callers, provide information, transfer calls, or take messages as necessary
- Greet visitors entering Instrumart, determine the nature and purpose of their visit, and notify the appropriate Instrumart contact
- Review and distribute all incoming Sales emails
- Provide order tracking and shipment status updates
- Ability and comfort working with computer applications — ample experience working in NetSuite
- Capacity to work with Instrumart’s telecommunications system, Dialpad
- Excellent attention to detail
- Fast and accurate typing skills
- Capability to work in a fast-paced environment
- Ability to communicate in a clear and helpful manner when corresponding with customers
- Skilled time manager with a strong drive toward productivity
- Active listener — giving full attention to what callers are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
- High levels of dependability
- Excellent communication and collaboration skills to ensure smooth and clear interactions across all departments at Instrumart
- Familiarity with NetSuite or similar business management software
- Experience using a cloud-based telephone system
- Experience sharing a workload while working as part of a team
- Experience working in an open office environment
