Medical Front Office Specialist – Tampa

Position Summary:

The Front Office Specialist provides administrative support to ensure the efficient operation of the medical office. This role serves as the first point of contact for patients, delivering excellent customer service while managing scheduling, patient registration, insurance verification, and payment collection. The Front Office Specialist supports both patients and clinical staff by maintaining accurate records, coordinating communication, and ensuring a smooth and positive patient experience from check-in through check-out, while adhering to all compliance and confidentiality standards.

Education and Training

  • High School Diploma or GED required
  • Experience
  • Minimum of one (1) year of experience working in a medical front office or similar role
  • Experience with practice management systems, patient registration, and scheduling systems


Skills

Working knowledge of:

  • Electronic Medical Records (EMR) systems and patient scheduling software
  • Insurance verification processes and basic billing procedures
  • Office equipment, including scanners, fax machines, and copiers.


Understanding of:

  • Patient Registration & Scheduling: Ability to accurately register patients, verify demographics and insurance, and schedule appointments efficiently.
  • Front Office Operations: Familiarity with check-in/check-out processes, payment collection, and general administrative workflow.
  • Customer service best practice in a healthcare setting.


Principal Duties And Responsibilities

  • Welcome patients, families, and visitors in a professional and courteous manner; verify the purpose of their visit.
  • Perform administrative and general office functions, including but not limited to copying, filing, faxing, and data entry.
  • Answer telephone calls, provide information, screen and route telephone calls to the appropriate person or department.
  • Schedule patient appointments, follow-ups, diagnostic tests, and other health-related services.
  • Verify patient insurance eligibility and benefits and obtain required authorizations.
  • Update patient demographics, including: contact information, benefits changes, and practice acknowledgment of practice policy notices.
  • Responsible for the Patient Check In process to include:
    • Obtain, verify, and update patient demographics information
    • Verify and update insurance information in the practice management system
    • Ensure completion of the automated check-in process, if applicable
    • Confirm the required authorizations have been obtained
    • Obtain patient consent for treatment
    • Collect co-payments, deductibles, co-insurance, and any outstanding balances prior to the patient being seen by provider
  • Responsible for the Patient Check Out process to include:
    • Collect payments, including co-payments, deductibles, co-insurance, and any outstanding balance amounts for any additional services that were rendered.
    • Providing receipts for all transactions
    • Schedule follow-up appointments and diagnostic tests as directed
    • Perform end-of-day reconciliation process, including balancing and reporting daily receipts, as assigned.
  • Utilize strong interpersonal skills to enhance patient satisfaction by communicating effectively with patients, providers, and staff.
